[Improvement] New Hire Onboarding

We’re excited to announce that we have made improvements and expanded the new hire onboarding feature to additional Square subscriptions!

 

Sellers with Square for Restaurant sellers with Shifts Plus capabilities, Legacy Retail Plus, Appointments Premium, Shifts Plus, and Team Communication in the US are now also able to request onboarding tasks and documentation from their team members. Restaurants Plus and Retail Plus sellers in the rest of the countries (UK, IE, ES, FR, AU, JP) can also now use this feature. 

 

Other improvements include:

 

  • New hires can review documents
    Now you can upload documents such as your employee handbooks, standard operating procedures, or other documents for your team members to reopen and view on the web or in their Square Team app. 
  • Instructions to guide new hires through onboarding
    Include specific instructions with each onboarding task. Team members can see these instructions as they review and upload documents assigned to them in their onboarding checklist.

Yesssss!! This is amazing! The onboarding process has been so cumbersome -- so much printing, signing, storing. This feature is going to be SO helpful! (We've been looking for 3rd party services to do this, but now -- yet another reason to stick with Square!)

We need an easier way to do a re-hire of a former employee. You can reactivate them, but I found out you have to dig through a few more steps or they will be silently excluded for payroll.

Is there any sort of report that I can access as the business owner that indicates which employees have acknowledge the onboarding tasks that I have assigned? 

 

For example, I have created a new onboarding task where I have uploaded the employee manual.  The employee has the manual in the Square Team app and has acknowledged that they have received and read it.  Where can I go, as the owner, to see that they have?  

 

I would like to have a report that shows what tasks are completed.  Does that exist, and if so, where?

@SVLFever Thanks for your question! We don't currently support a report for onboarding tasks, although you can view documents that team members have uploaded from the documents tab in the team member list.

 

That being said, I'd love to hear a little more about your use case so I can share it with the team. Could you tell me a little more about how you'd expect this feature to work? For example, would you want to see a date and time that a given team member completed it, or anything else in particular?

@kathyz I'm super excited for this feature, but am noticing a few holes as I set it up:

  • It would be really helpful if there was a way for the team member to electronically sign documents, similar to a DocuSign, PandaDocs, etc. We have several notices that require employee acknowledgement and just being able to "review" them doesn't seem quite sufficient. We have often had to submit the signed Handbook Acknowledgement to counter Unemployment claims (proving that the employee did indeed know the policy they were violating), and I'm not sure the checklist acknowledgement would be sufficient.

  • It'd be SUPER helpful to be able to enter some kind of Preview mode to see what the new team member will see when they go through the process.

  • I agree with @SVLFever -- an onboarding report would also be helpful, such as receiving an email "So-and-so has completed the onboarding checklist," or some kind of column in the Team section that they've completed all of the required steps.

Are any of these features available (maybe I'm missing them?) or in the works? Or, should I submit some feature requests?

@gwill I'm sorry, I posted a response but it must not have saved, as the response @mksavage posted made me re-look at this thread.   

 

My thought is that the report should at least consist of;

  • Employee Name
  • Task Completed
  • Date/Time Completed

Ability to filter by Employee, Task Complete/Incomplete, Date/Time filter

 

Also should have the ability to send a reminder to complete the task, either on the app, or in a message when they clock in. (in the ideal world).

 

We have an occasional change to our employee manual, and making sure that staff members have acknowledged the change would be very helpful, especially with over 60 employees in one location.   It would also be helpful to know that they have completed/acknowledged our onboarding requirements, and this type of list/information that I'm requesting would be helpful from a managerial perspective.

I don't currently have a timeline I can share for these features, but we've heard similar requests for electronic signatures, preview mode, task reminders, and better reporting. No need to submit a formal feature request—I'll make sure your feedback gets to the right people. Stay tuned!

Yaaasssss!  No more having to print everything out... make copies for them and keep one for us to be able to upload into their team profile.  This is going to make it so much easier and neater lol 🙂
