Functionality for a 'pass' product that can be used once per week?

Sorry if this is in the wrong location.

We run a weekly film club/premiere night, and are transitioning into using square for our ticketing, merch, etc. (previously were just using venmo QR codes). One thing we did last year that was a big hit was have season passes that die-hards could buy to save money over the course of the season.

This upcoming season we're transitioning into two nights a week, and are planning to have a season pass that's good for one night per week and one that's good for both. My idea is when they show up, to just 'charge' them something that's $0 (main function is recordkeeping of attendance), but I'm hoping to find some functionality where if the lower tier people show up the first day of the week, that if they show up the 2nd, something in the system tells the door person that this person has already used their weekly season pass credit.

I hope that makes sense, and I'm open to any roundabout hack ways of achieving this (likely understand it will probably be something outside the square infrastructure). Thanks in advance for any thoughts!

Hi there!

It sounds like you have a great plan for your film club and are looking for a smooth way to manage attendance with season passes using Square. Here are a few ideas on how you can set this up effectively:

  1. Create Ticket Types:

    • Set up different ticket types for your season passes in Square. You could have one ticket for the single night pass and another for the two-night pass. This way, you can track which type of pass each attendee has purchased.
  2. Using Appointments or Events:

    • Consider using Square Appointments or Events to manage your film nights. You can create an event for each screening and allow attendees to "check in" when they arrive. This way, if someone with a single night pass shows up for the second night, you can easily check their attendance against your records.
  3. Zero Dollar Transactions:

    • For the attendance recording, you could set up a "check-in" transaction that charges $0. This would allow you to keep a record of who attended each screening. Just make sure to have a clear process in place for your door staff to check off attendees.
  4. Tracking Attendance:

    • To manage the issue of someone using their pass twice in the same week, you could use a simple spreadsheet to log attendees. After each event, check against this list to see if someone has already attended that week. While this requires a bit of manual tracking, it can be a straightforward solution.
  5. Integrate with Other Tools:

    • If you're looking for more automated solutions, you might explore using a combination of Square with other event management tools or apps that integrate with Square, which could provide additional tracking and reporting functionalities.

It sounds like a fun event, and I hope these suggestions help you set it up successfully! 🙂
