export sales report as a excel or numbers file
Hey all - so what I am trying to figure out is how can I export sales report as a excel or apple numbers file? When I send it as a csv our accountant cant make any sense of it. Trying to figure out how to make this easy on her.

Square has 3 Transaction files that can produce the information you are seeking.
From a computer Log into your Square account. Tap Transacations, then choose your date range, then tap Export. This will show you the 3 exportable csv files. Transactions, Transaction Details, and Transactions Items.... I believe that is what they are called. I am doing my own Bookkeeping for my accountant and I downloaded both Items and Details CSV files, then used PowerQuery to merge these two csv files together to get all the information I needed and wanted to cover all the bases.
What is your Accountant actually looking for?
With Square, the transactions are all listed but my issue was when I merged two of these together the Sales tax column would total instead of showing as a total for the Transaction, which I ended up solving using the PowerQuery feature in Excel.
The biggest thing some people say is a Problem is the Deposits to your bank. Square lists every days sales sepperately which you can export from the Balance section on your Square Dashboard on a computer through a web browser. Just instead of Choosing reports or Transactions tap Balance. If you then tap your Business or Location name, then Tap View All , you will be able to select a date range and see and Download all the deposits from Square as a csv.

she said everything comes across in one line and that she can't make sense out of what is what. It seems odd to me that you can't export as an excel document or something.

You can export as a csv file which Excel can open. What file is she looking at? And what is she trying to do?
Here is basically what the Export Screen looks like for Transactions and each one is different:
I understand that the File she is looking, that everything is in a straight line but I am trying to figure out what Everything is from the csv file you or she is looking at.
Like my Items SalesSummary CSV file just lists all items that were sold on the date I selected. Here are the first few lines of my item-sales-summary-2024-11-09-2024-11-10 csv:
The above picture CSV file would be good if your accountant had all your items in her accounting program and could import that SKU N518833 was sold to reduce inventory in her accounting program. Moving over there were no refunds or discounts. Then the next column shows the sale price and my states sales tax for those items that day.
Now if she is just trying to show the Total of each Sale she would need the Transactions.csv which is transactions-2024-11-09-2024-11-10 csv file, which would look like :
To the right more information shows customer, card, type of payment etc.
Now if you download yourItems Details CSV which shows as items-2024-11-09-2024-11-10 csv, then each Item sold is on a different line, but the Transacation ID column would be repeated for each item of a sale and how much in taxes were applied per item sold.
Columns N and O are marked by color in this image to show which items were sold in one sale (transaction).
So is your Accountant trying to see each sale made for a day, or is she just wanting to see the total of your sales transactions to see the deposit amount from Square to you?
The information is in Square to be downloaded, but trying to figure out what you and accountant are trying to see and point you and her in the correct direction is where I am lost. I actually have to merge the Transactions and the Items CSV files to make one csv to import to Quickbooks Desktop. When I do this, I get a sales receipt in Quickbooks Desktop that looks like:
This how I know, the information you seek is available as a csv. This was created from merging 2 csv, and then batch importing through a 3rd party, my sales as a Sales Receipt to Quickbooks Desktop.
Now here I showed 3 different csv files from Square and this is why I ask what is the name Square calls the download that you give your accountant that only has 1 line of informations as mine all have multiple lines, unless you only had 1 sale? Even if you show your accountant this, maybe she can point at one of these csv's and I can walk you through how to get it. Maybe none of these are what she is looking for and just the Bank Reconciliation type download.
