Return/Exchange from Multiple Transactions

Hello,

Hope I am posting this in the right section!

We started using Square Retail last year for our Landscape Supply company. It has been working pretty good for what we need it to do, after some "rigging"...

I am wondering if there is any possible way to return items from multiple transactions (from the same customer) at once?

An example:

We charge a pallet deposit on any wood skids that leave the yard. I just had a customer return 18 pallets from multiple transactions all under his account, but I had to refund each pallet one at a time, as they were all purchased on different transactions. Literally took me almost 20 minutes!

I know I could have just refunded a "custom amount" using one of the transactions, but then it would not show us that the pallets he did return have already been refunded.

So, to sum up my question, I am looking to see if I can pull up a transaction, select the item to return, open another transaction, select another item(s) to return, and refund the total or even apply it to a purchase.

I understand if the transaction was purchased on different cards, that obviously would not work, unless the system would allow you to still add them to a return/exchange, but only allow you to either apply it to a purchase or as a store credit.

Hopefully I am wording this correctly!

Hey @Mike_V,

Thanks for reaching out!

Unfortunately there is not currently a way of combining multiple different transactions into a single refund process that works in the fluid way you're looking for here - refunds currently need to be done via the original transaction.

I can see how a feature such as this would be really handy in the scenario you're describing though - thanks for sharing such a detailed use case!

I would suggest that you may find the workflow quicker/easier to do from a computer via your online dashboard in a scenario like this in the future. To process a large number of refunds, if possible, you might want to explain to the customer that it will take a little longer to process than usual, excuse yourself temporarily, and duck into a back office to process them on a computer without the customer looking over your shoulder or chatting while you're trying to get things done. I know I work a lot faster on computers/laptops than mobile devices. You'll also be able to filter transactions by last 4 digits of the card number to quickly bring up all transactions made on the same card on the same screen.

Depending on your situation this may not be possible, but I thought I'd share as a way you might be able to speed things up with tools currently available. Hopefully scenarios like this are not too common place!

All the best 🙂
