Team Member View Salary Permission

Ok, so my shop is in total disarray as I did not know team members could see each other's salaries when they are at the Square terminal.  Is there a View Other's Salaries checkbox somewhere that I missed when setting up team members?

It's not possible for Team permissions to override their specific permissions as long as they are using their personal passcodes each time to log in. Team permissions only apply if they are using the shared Team passcode or if the team members are assigned to Team permissions. 

Two things to check:
1. Are your passcodes enabled? (setting --> security in register) I'm assuming yes but double checking.
2. Beyond clocking in/clocking out -- are they using personal passcodes every time they log in? 

If your team is using Team passcode and not their personal passcode for each login, please ensure you have turned off all "Team management" permissions under "Team permissions" and they won't be able to see the Team list or any wages

@macflyfresh I am so sorry you’ve got a situation on your hands. That is not fun. 
I am not sure how they would be able to see other people’s salaries or anything about another employee unless they are using the owner log in info. 
do you have a square register? Or are you using the POS app on an iPad? 
I would go into the team permissions on your computer in dashboards and go through and make sure you have everything triple checked that you want your employees to be able to see or not see.

 

I am trying to figure out how they would be able to see that on a register. I am not even sure I would be able to see it unless I really messed around on the register. Which is another situation you may be dealing with as well. Which is your employees are digging around in the register in areas they have no purpose being in… 

 

Do you know how they are seeing the salaries? Can you walk me through the steps?

Jason, has TEAM always been visible in Square Register under the "More" tab? I feel like this only became visible after the Teams/Payroll merger? Can you help me understand why these TEAM information would need to be on the actual Register and not just on the owner/admin dashboard? This is personnel information not intended for all eyes? The Register should be for transactions, Checkout, Orders and basic things needed for set up (like printers, cash drawer report to close drawers daily etc).

Hi! 

 

This is not affected or related by the Team/Payroll merger. You cannot view tax or payroll details and the team add on has been available on the POS from prior to the change. 

 

If your team is using 4-digit passcodes, then the team should not be visible unless they have permissions to view the team. 

 

You can also uninstall the Team Add on if you don't have the advanced Access subscription and that would get remove the Team list on the POS.

I am curious about this as well.  I have a staff member who I have provisioned to work on scheduling, but I don't want them to see wage.  There are no settings that I can find that specifically remove the wage visibility, however.  Can you point me in the right direction?

This has been an issue for me as well. Ever since Square updated their system to merged teams with payroll, all my my employees are able to view other employee's pay rates under the "teams" tab on square register. I have restricted any applicable permissions on my end but they still have access. I believe this is an oversight in the code.

@AnotherCafe -- Is your team using their personal passcodes to log in? If they are using their 4-digit personal/individual passcodes on POS, then their permissions should apply. 

If your team is using the shared Team passcode, for the register then please ensure that the permissions on "Team permission" permission set is reflecting what you need.

@muskanarora - They use their individual passcodes to clock in and clock out on square register, so I assume that their specific team permissions should apply. Is it possible that the "team permissions" set is overriding their individual team permissions?

All the team members are assigned to a custom permissions set with restrictions, however there is no login prompt on Square Register other than clocking in or clocking out. I've always assumed the clock in also logs them in and applies their permission set. If that's not the case, then it might be that Square Register has always been logged in under administrator or "team permissions" this whole time. I'm not at the location right now, but it seems like passcodes are not enabled if they are not required to log in with every use. Is this something that can be checked remotely?

@AnotherCafe -- yes, sounds like it has been under the owner account. Login is different from clocking in. 

Yes, you can check and turn on the settings remotely by using device profiles.

Please review the device associated. If it has a profile, you can go into the profile, and turn on passcode under "security". 

When you're at the location, you can turn on additional passcode requirements (e.g., after each transactions etc)

Thank you for your assistance. I think turning on the passcodes will be inconvenient since it's a high volume cafe and multiple people use the POS. I will create a universal login with the appropriate permissions. Thanks again!

The base login will need to be still the owner. Multiple people can use POS and using personal passcodes can enforce permissions and also help track activity, sales by the individual team member which sellers find very beneficial. And you can also give your manager different permissions than the rest of your team

If you still want to use common passcodes, then you can use Team passcode and set up Team permissions to the level you'd like so you can still use the owner passcode and your team can share Team passcode

I see. I must have not set it up properly when I got a new square register a few months ago. I'm sure it used to be set up like that. My main concern is being able to customize when they need to enter their passcode. If it's after each transaction, that would be too much of an inconvenience. Is it possible to customize when passcodes are needed such as only after the screen is idle and locks them out?

By default, it's only after screen idle and lock out. You can turn on for after each transaction, if needed. All these granular settings are in your POS under settings --> security

We just had this same issue arise this week at my cafes. Devastated! I have no recollection of TEAM ever being visible on Square Register and also chalk it up to the recent merger of teams to payroll. Square should absolutely REMOVE Teams and many other tabs from within the "MORE" tab. Any payroll or personnel data should NOT be included on the register. That should only be accessible via logging into the DASHBOARD. A nosy employee scrolling around on screens she had no business being on has caused undue stress for myself, my management team and staff members alike. I had to scramble yesterday and spent countless hours establishing permissions that I have never had to use. Now clocking in and out has become cumbersome and difficult for staff and frustrating for me as the owner. I think this would be a liability for Square. If anyone at Square reads this and would like to discuss further I am open to a discussion. This can be improved upon.
