Order Reports

We added products to our Square online store and now I need to pull reports to ship certificates to those customers. Does anyone know of a report I can run for orders that includes customer shipping addresses and items purchased?

Welcome to Seller Community and thanks for post, @whsgn!

You can export a list of orders to a CSV that contains that information from your Square Online overview page. Go to Orders, then click on the Export Orders button on the top right. We also include options to only export a specific date range if you only need them for a specific period of time.

You need to go to the ONLINE choice from the left menu. Choose the site you want (if you have more than one). THEN choose ORDERS. There will be an export button in the top right corner

Thanks very much, Tom. Your instructions worked like a charm. However, I was still unable to get the information I need from that export.

What I'm looking for is a spreadsheet that includes both the customer shipping information (name and address) AND the item details (what they ordered).  I'm sure this report is available somewhere, but I've been unable to find it. Any help with this would be very much appreciated. Thanks again!

All of the information you need it in there, is just hidden by the rest of the noise:

Product NameProduct OptionsProduct QuantityProduct Price

Hudson Valley Apple PieVariation : 6"115
Buffalo ChickenVariation : 9"129

Chicken Pot PieVariation : 9"129

Quiche LorraineVariation : 6"115

Any orders taken on your POS WILL NOT show up here. That is a HUGE flaw in the system (if you are a bakery). Alas, there is no way to get that information out except to print the actual order sheet. We have had someone create an excel report setup for us to rearrange the info in a usable manner, but it is problematic and ended up not being very useable. Square uses terms like TODAY and TOMORROW in their time descriptions, which is insane. We needed to get a list of the number of each product due on a given day, and the Square export makes that very hard to set up.  As I tell everyone all the time, when we have a lot of orders for a specific time frame, like holidays, we switch over to OrderNova to be able to get the reports we need. OrderNova does not handle a lot of other things we need, and it only interfaces with Stripe payments, so we stick with Square for our everyday POS.

I get an error message when I click the Generate button so I can export my orders list. Any advice?

I am struggling with the process for order fullfillment. There are two issues we are having:

1. when we print orders they items are not in the same sequence so it is difficult to fill the orders in a methodical way. It would be great if the items always printed alphabetically.

2. When pulling the orders for a day or a week, we don't have a clear way of knowing how many of each item we need. For example, we may have 30 orders but how many of them ordered X. This would help us with packing the items as we don't have a standing inventory. We are a farm so we harvest to order, but need a total number for each item to harvest the appropriate amount.

Any help with these would be appreciated.

@ThreeForks thank you for taking the time to post this. The feedback does help our development create better products for you. I've merged your thread into another one so we we can keep all the feedback in one place, but also AdamB provides a workaround that may help you in your second point for improvement.

Let me know if you have any other questions. 🙂 Also, welcome to the Seller Community!!

Thanks @AshleyK and @AdamB. I can and have been using the Export option on the reports but the format of the export does result in my needing to do additional formatting to get the information I need. I will look forward to seeing what the development team comes up with.

Thanks for your help in the meantime.

What Square DOESN'T DO is export orders taken at your POS. To those of us who actually use the feature of scheduling orders at our POS, it is a serious problem that we can look at the orders on our order overview, then go to the online view to export them, only to find that our POS orders are not in the file. How are we supposed to keep track of our orders? I have someone working on creating a spreadsheet report using the Square Online order downloads, but it is very frustrating that not all of our orders won't be available in it.

I've posted similar feedback in other community threads about a need for an unfulfilled item report in Square Dashboard and never get any response, so I just want to add my feedback to this thread.

Similar to @ThreeForks we don't have a clear way of knowing how many of each item we need to fulfill open orders. A report in Square Dashboard that shows the total quantity of each item on unfulfilled orders would be super helpful to us in keeping our inventory accurate.

Right now we either pull the online order export and manipulate it in excel to get the data we need for unfulfilled orders or our team clicks through order by order in the Square Dashboard to tally unfulfilled items on each order.

Neither are practical. The first option requires my team to have access to a computer with a desktop version of excel and be proficient enough in excel to filter the data. The second option is prone to human error and can be time-consuming if we have a lot of open orders in the system..

It seems like all of the data is there through Square Online reporting or Square Dashboard reporting, but it's not melded together into one useful report. In our case, adding a column to most Square Dashboard reports showing order status would be most helpful.

Thank you for taking the time to share your interest in this feature @Heather_H I know you mentioned posting on other threads. However,  I recommend you submit a Feature Request here. This will help our product team get visibility and track other Sellers' interest in your request.

Important: When submitting a request, make sure to include the desired feature, and provide the details of how this feature will help your business succeed (how would you use it and what you expect from it).

When I click on the feature request to submit that you mention above, it states there is still a reporting problem. I thought it was marked as being resolved

Not sure if Square can do this, I may be missing something.  I would like to be able to generate a report to show each customers spending breaking it down in services and retail sales, but like others I have to put it in an excel spreadsheet which opens up to more human errors and takes more time.
