Can't record cash payment on invoice

I sent a client an invoice, & she paid me in cash. I've used Square for years & have always recorded the occasional cash payment by clicking the drop down menu beside their invoice listing, selecting "Mark as paid," then clicking "Cash" in the payment method dropdown, typing in the amount, and BAM! Paid, recorded, & my customer has the paid invoice as receipt.

 

For the last 12 hours+, the correct window comes up when I click "Mark as paid," but it is grayed out, and when I click anything at all in that window, the window flashes white for half a second before closing. I cannot record this payment for the life of me!

 

I called customer service, who told me that cash payments can't be taken on invoices, and that I need to delete the invoice and just do it as a POS transaction. That is not correct. It must be some kind of error.

 

Is anyone else experiencing this, or does anyone else have a workaround? This affects my reporting, as well as my clients. TIA!

You can record a partial payment in cash by clicking on the invoice, selecting More > Mark as Paid, then choosing Cash and entering the amount.

Hey @Gardentoes11.  I just checked my Invoices App and the Invoices function in the online dashboard.  Both work as you would expect.  So, depending on your platform (web browser or Invoices App) either:

 

  1. Delete and reinstall the Invoices App, and sign back into it.
  2. Sign out of your online dashboard, force close your browser, clear your browser history and cookies, then restart the browser and sign back in.

Most likely something got messed up in your app/browser and just needs to be cleared out using this nuclear option.  Leet me know if that doesn’t work.

I am new to Square but am experiencing the same issue. A client paid the deposit (50% of the invoice) via Venmo. I am trying to record the partial payment on Square but the only option is to charge a card. I am on the website; I don't have any mobile devices for Square.

This is what I've done in the past, but suddenly it's not working. It shows the Mark as Paid window, but as soon as I click the dropdown list to select a payment method, the whole thing flashes white and disappears. It will not allow me to use or get past this window.

 

The only way I've been able to get these invoices out of my unpaid list is to cancel them & just keep a separate spreadsheet of invoices paid by alternate methods outside of Square.

 

It's annoying, because it's supposed to work and used to, but obviously something has changed. Fortunately, it happens fairly rarely--most of my clients pay through the invoice, but it messes things up & adds steps & is just another thing to keep track of.

 

When I reported it to Square, I was told that recording outside payments isn't a thing. That CSR had no idea what either I or he was talking about. Not helpful at all.

Just noticed this evening (and of two days ago was working), payments from customers for an Invoice by Check was allowed and was allowing a notation on the payment.  This payment form has now been REMOVED, WHY, and did you ask the users?

Hey @ACARTS.  Fellow seller here, so I won’t even try to answer the why questions.  For now, hopefully I have a work-around to what looks like an oversight.  

 

I am assuming here (since you don’t say) that you are trying to pay invoices using the web-based dashboard.  Sure enough, I don’t see a way to record cash, check or other forms of payments.  I dug a little more and downloaded the Square Invoices POS App.  There I was able to determine that it DOES still allow recording of all payment types that are enabled for the device/account.  So, for now, if you are able to do so, switch to the Invoices App to do this.

 

Otherwise, I’m going to tag a few Square moderators who can check with the product team and see what it going on.  Like I said, it looks like something is just buggy in the most recent web-based dashboard, since it IS possible to still record cash/check payment methods using the app.  Stay tuned.

You should be able to choose cash or check for Invoices on your dashboard and in the App. Can you confirm if this is working for you on your end?
