Tracking Appointment Cancellations in Square Appointments

Tracking Appointment Cancellations in Square Appointments

Is there a way to track and view cancellations for a specific time period (day, month, etc) in Square Appointments. When clients cancel the appointment is removed and shows up as a cancellation in their profile, but how can I view cancellations as a separate report?

Re: Tracking Appointment Cancellations in Square Appointments

Hi @docdrew, thanks for bringing this up and welcome to the Seller Community!

I went to check on this and we don't have a report that surfaces all of the information you've requested in one pace.

So that I can share some more details with our Appointments Team, can you reply with some more details on why this is important for your business? I can imagine a few scenarios where this visibility would come in handy, but I want to be sure we've got our insights on target. 🎯

Please do keep in touch and let us know if any other questions come up—we are constantly iterating based on seller feedback.

This reply was created from merging an existing thread: Finding no show info

Is there a way to find no show info for clients?  I've gone into client files and can't seem to find it.  I know a list has been mentioned and that would be great, too.  It's hard to know how to move forward with specific clients or no show protection without this information.  Thanks for any help that can be offered!

ETA:  Nevermind, I found it.  A list would still be great.

Under Appointments then Settings click on History. In the top right there is an Export option. Click that and open the downloaded spreadsheet. Sort the columns on Status. For appointments you flagged as a no show their status should be "no_show". You can also make notes in the Client Notes section before you flag the appointment as a no show and those comments show up in this exported spreadsheet also. Hope that helps. The option to see that a customer was previously flagged as a No show when they book again would be very nice but I don't think that's available from what I've seen.

Thank you @Handle_Barbers, and welcome! 😀

Wondering if there are any updates on this addition? I too would like to be able to access this info easily while I am doing my year end reporting.

Hi there, @breathenailspa - thanks for adding your voice here. Good to hear from you again!

No updates to share as of now on this front. We will be sure to notify the entire thread when we have more to share. Thanks for your patience!

I too need to be able to generate a cancellation report. As for the reasons the original author stated, those also fit my industry (hair salon). Being able to track or view these trends as a whole and by client is essential to my business. Will this feature be integrated into the reporting section, or maybe added as special/custom report feature in the (hopefully) near future?

Hi there, @JennaEutsler! Thanks for adding your voice here in support of this thread. While we don't have any shareable timeline as to when this will be implemented, we will continue to share all relevant updates here. Thanks for hanging tough!

My business/practice also need to be able to have this time of information for biz development and analytical purposes

Any updates?

Hey! As of now we do not have any updates for this feature request. Thanks for taking the time to post and add your voice to this thread though! I will share this feature request with our Development Team as well.

Hello this is also very important for my company. Especially during the Covid-19 pandemic.

Business aid for businesses affected by Covod-19 Closures are requesting proof of loss to the business. A report with the service and cost of service that was cancelled during these times is essential. How soon we get aid depends on how fast we submit this information. The only option we have is to go through all client profiles to check if they had an appointment that was cancelled. This is a waste of valuable time for time sensitive information.
