Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

This reply was created from merging an existing thread: Square invoices now syncs with Square Inventory

Thanks for adding this feature, but I agree with TomLittle above.  The feature is not usable until there is a way to reduce the inventory on CREATION of the invoice.

The whole point of having inventory tracking is to know how much you have left to sell.  You can't have an accurate idea if inventory that is actually "sold" is still included in the "available" category.

Please complete this functionality ASAP.

It's a money grab it's never going to happen it hasn't happened in all these years and years and years. we know it works in other systems.  Square wants the invoice to be paid, so they get their cut, which is fine but give us the ability to take it out of inventory.  You're biting off your nose to spite your face.

So you mean to tell me that Square did all this work on INVOICES and didn't work on the Invoicing and Inventory issue with people SCREAMING FOR YEARS to have inventory reduced after invoice is created.  You have got to be kidding me.  I've been patient, but have had enough.  GET SOMEONE THAT CAN MAKE THIS HAPPEN!!!!  THIS IS ABSOLUTELY UNACCEPTABLE AT THIS POINT.  PRETTY MUCH STUPIDITY.  Adding all the fluff that we don't need is crazy.  WE NEED THIS INVOICE ABILITY NOW!!!!!!   Get the word to anyone and everyone.  Post their emails so we can bombard them directly.  I feel our voices are NOT BEING HEARD!!!  We want answers.

Re: Stock Counts Not Changing Upon Invoicing

Items added to invoices won't decrement inventory until the invoice is paid, not when it's created. From Dashboard, make to enable Inventory Management for Invoices within Items > Settings so stock amounts reflect accurately with each Invoice sale.

@cncmb Thanks for reaching out and welcome to the Seller Community!! I've merged your post to an existing thread as this is a feature request and we want to keep all of the feedback in one place. There are a few workarounds in here that other sellers have provided, but I encourage you to work with them to see if there is one that better fits your business.

@Cellist is one seller who marks their invoice as paid early to account for inventory. @m2o144 has used an inventory partner to help with their invoicing and inventory.

I hope this helps and I appreciate your time!

i vote for invoiced items that are partially paid to be marked as reserved or on hold. until they are fully paid.  So they cant be oversold.

Thank you square for working on this.

Hi, will the New Square Invoice Plus have the ability to reserve items that have deposits on them so it does not get oversold online? Adding an optional choice to reduce stock when an item is added to an invoice will help sellers who want to use it as well as those who don't.

thank you

hi, I really would like a global feature for invoice plus to have the option to "remove inventory" qty when an item is placed in an invoice.

I realize a lot of people have requested this feature for years. Also, people like it as is. So to solve both worlds make the feature optional. Either remove the invoiced items from inventory so It can not get oversold online or leave it as the current setup.

REALLY REALLY REALLY need this. or I will keep selling invoiced items online and they are not in stock. Please ad this.

90% of my Invoices the customer pays a deposit. then pays monthly for two to three months before they pay it in full.  So in the current Square invoice setup i person could buy any of those items that are on that invoice online. But that would not be good cause someone else has already paid down on them. I hope you understand my point. this is a real problem that I hope you can solve by offerings a feature to "globally" remove items from stock or place them on hold when they are on an invoice. If the customer decides to remove an item from the invoice then that item will be added back in stock and is for sale again.

Thanks for adding this suggestion, @jewelcam! I saw your other comment about this, so I made a few edits to your post to add additional information.

Not being a programmer, I just don’t know why is this such a hard feature to add.  Can anyone explain? It’s such a huge issue for inventory and everyone has been crying about it for years now. Very disappointed that a major update to invoicing is out and this simple, common sense feature is not integrated.

Don’t even bother doing inventory with this system.  It will only cause you pain. The amount of time since the request for this feature should be a big tell on how much they really care about making it work for us. I am looking at Quickbooks for invoicing and inventory, probably stripe for pos.  I’d look elsewhere if you are considering Square.

I really wish they would fix this. Without the inventory adjusting when the invoice is created, it renders the inventory management useless, especially when you're dealing with one of a kind or custom items. I deal with a lot of one of a kind pieces, many of which get put on invoices to split the payments. There's nothing more frustrating than having to go in after the invoice is created and adjust the inventory of it so it doesn't still appear as purchasable online. Before I realized this was an issue, I had an item being paid on and it was purchased online by someone else.
