Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

This reply was created from merging an existing thread: Square invoices now syncs with Square Inventory

Thanks for adding this feature, but I agree with TomLittle above.  The feature is not usable until there is a way to reduce the inventory on CREATION of the invoice.

The whole point of having inventory tracking is to know how much you have left to sell.  You can't have an accurate idea if inventory that is actually "sold" is still included in the "available" category.

Please complete this functionality ASAP.

It's a money grab it's never going to happen it hasn't happened in all these years and years and years. we know it works in other systems.  Square wants the invoice to be paid, so they get their cut, which is fine but give us the ability to take it out of inventory.  You're biting off your nose to spite your face.

So you mean to tell me that Square did all this work on INVOICES and didn't work on the Invoicing and Inventory issue with people SCREAMING FOR YEARS to have inventory reduced after invoice is created.  You have got to be kidding me.  I've been patient, but have had enough.  GET SOMEONE THAT CAN MAKE THIS HAPPEN!!!!  THIS IS ABSOLUTELY UNACCEPTABLE AT THIS POINT.  PRETTY MUCH STUPIDITY.  Adding all the fluff that we don't need is crazy.  WE NEED THIS INVOICE ABILITY NOW!!!!!!   Get the word to anyone and everyone.  Post their emails so we can bombard them directly.  I feel our voices are NOT BEING HEARD!!!  We want answers.

Re: Stock Counts Not Changing Upon Invoicing

Items added to invoices won't decrement inventory until the invoice is paid, not when it's created. From Dashboard, make to enable Inventory Management for Invoices within Items > Settings so stock amounts reflect accurately with each Invoice sale.

Hello Everyone, I am just of the phone with the Square Developers. They seemed to be very interested in learning about how we use Square and quickly grasped the issue we are having. Although there are no quick solutions the invoices section of Square is being further developed to allow good to be removed ( decremented) from inventory before the invoice is paid. The goods will have a ‘reserved’ status that will show they are no longer on the shelf but have not been paid for. Once this happens your inventory should align with what’s really on the shelf. At present this change is in the development pipeline for last quarter 2021 ( not soon but coming).

That's great to hear, thanks for the update!

Thanks for updating us.  It’s a while to wait but at least it’s on their radar.

I do online, retail and wholesale sales. The inventory option on invoicing needs to adjust when invoice is sent, not paid. I just read the thread from 2016 and in 5 years has there been any progress?

@nickfarmermn I'm really sorry to hear the frustration regarding this feature. I can understand how you may feel that way since the thread is so old. Unfortunately, I don't have any more updates to provide for this thread at the time, but I will continue to pass the feedback through.

This issue is causing me to find a new way to invoice people, and I will NOT be using square, thus you will be losing my fee for every wholesale order I get. I will move to Quickbooks or something else. Not having the inventory be removed at time of invoice has cause me to oversell items I cannot re-order. Honestly, between this, the fact that square ads the discount into the subtotal, the fact that I cannot add a shipping line after the subtotal, and the fact that I cannot make an invoice $0 for a customer who has a replacement for items damaged in shipping make Square a joke. Plus your customer service is appalling. I will be running away as fast as I can.

Someone in here said Shopify invoicing works the way we want (deducting inventory once invoice is created).  I have a note to verify with them next week and plan my migration.

Hello,

When you create an invoice, does it automatically "remove" the item(s) from your inventory counts?  Does it do this right when the invoice is created or when the customer pays?

Thank you!

@thebloomnbucket Thanks for posting. Inventory is deducted when the invoice is paid, not when the invoice is created.

Merged you to a thread where a similar question was posted.

Is there a way for the stock to be "reserved" or decremented when the item is part of an invoice but not fully paid yet? I turned on sync inventory with square invoice, but I need the stock to reflect that the items in the partially paid invoice are not available for purchase online.
