Assign Bar Code to Customer

An existing large firm has asked me to open a coffee shop inside their premises. I will be adding a Square workstation. However, for EMPLOYEES of the Firm, they want me to be able to scan their employee badge BAR CODE and charge their purchase to an account for payroll deduct.  I can always run a report to get reimbursed from the Firm, but how can I use the Employee's Work Badge Bar Code to assign their NAME or Number to the sale, therefore putting the sale on account?

 

Apparently, the payroll deduction is a big deal for the employees. No easy way to get them to change.

 

Is there any option to use Gift Cards to take the sale and have it charged to the account?

 

I would submit a report weekly to be reimbursed from the Firm, and then net/zero-balance all accounts based on the reimbursement. The report must list open sales on account, by Employee.

Hello @AirPlay, thanks for bringing this up.

 

At this time, it doesn't sound like Square Register has exactly what you're looking for in terms of the ability to process sales by scanning an employee badge. I do have a few suggestions that might be helpful if the firm is able to be flexible.

 

  • You won't be able to use the employee's badge bar code to assign them to a sale, but you can add a person to a sale within the Register app by following these steps. Once they're added to a sale, you'll be able to view their purchase history from your Directory or which name is associated with the purchase in your Transactions tab.

 

  • Regarding gift cards, we don't currently offer a way to issue a Square Gift Card that would automatically draw from a third party account. If the firm is willing to issue gift cards to their employees (must have a Visa, MasterCard, American Express, Discover, JCB, or UnionPay logo), or purchase Square Gift Cards specifically for your coffee shop, they could take care of the deduction themselves.

 

I realize that both of these suggestions are a bit restrictive. Rest assured that I'll be sharing this with our product liaison team, who makes improvements based on seller feedback. If there are any other sellers who have had experience with a similar setup, please feel free to chime in! 📢

I have this exact same scenario that I'm dealing with and a solution to this from Square would help me not have to look around for other solutions.
