Stock control syncing between my weekly site and my square account

Hi,

I have a Weebly site, business plan, and I understand that I can do a stock control through square. I've followed the weekly instructions and it doesn't seem to work. I'm unable to open up the stock field. 

I sell prints and cards of my paintings, some on line and some in galleries. I'm looking for a way of getting an overview and to not oversell.

Anita, if you add/update the stock you have on the square dashboard or in the app this will (should!) be reflected in your online store too. 

if you have different locations set (such as a gallery in another place) then that would have separate stock.

It does sound like you’ve ended up with a weebly site linked to your square account rather than the square online store. 

@tranguyen do you know a what to check this & if wanted bring them both online?

 

This has come up 2-3 times over the past couple of weeks & each time it’s been a poor & frustrating experience. At the very least it sounds like the weebly support team need better information on the square side so they can identify where confusion is coming from. Right now they seem to give ‘bad’ advice as they don’t understand the question as users are expecting the square online UI & interaction.

@Sam_400º is right in saying that the issue stemmed from the fact it looks like Square was linked to an independent Weebly site (created before Square Online site was fully realised). Stock control and sync isn't available with older Weebly sites.

 

It also sounds like the Square account and the Weebly site was setup using the same email address, so if you try to go through Dashboard > Online, you'll encountered the message above.

 

We can get this resolve by:

- Change the email address on either your Square account. This will break "the link" in a sense and should let you setup the Square Online site through Dashboard > Online.

- Once this is setup, you can import your items library into Square and the stock should sync.

- Since you have paid for a subscription plan on your Weebly site, once the Square Online site is setup, please reach out to our Support team directly and we'll be able to help moving your services over.

 

Apology for all the confusion caused by this! I know our team are working to help make the conversion path between Weebly and Square Online site more smoothly for sellers, so this is something I'll feedback to the team.

@AnitaWoods thanks for letting me know! It's quite strange that you were getting the 'This feature is not available to all users' message even though your Weebly site and Square account used different email addresses. But it seems like changing it has now allow you to start creating a Square Online site.

 

When you go through Dashboard > Online, effectively you are creating a new website. Once that's setup, we can then import the items into Square again so it'll appear on your site and help move over any services that you have with your Weebly site. In this case, full website + online store would be the best option for yourself.

Thank you. Yes, that’s probably it. I upgraded to business plan at the beginning of the crisis and the store wouldn’t function. Weebly got me to set up a remote store attached to my website. It’s caused me loads of problems and they are not being very helpful. I’ve asked again for help but last time they said ‘you seem to have set up a remote store’. Quite frustrating!

Hmm - from what you’ve said it sounds like there could be a 2nd option of what’s happening. 

Have you got a ‘square online’ store or a ‘weebly’ store? 

it’s a bit confusing at the moment as the branding has been brought inline but there are still two systems running. 

I access my online store by logging into the square dash, & clicking ‘online’ in the menu. Do you do it the same way?

No, I’ve been updating directly on my website. The items don’t appear on square. I added an item to square yesterday but it didn’t appear on my website. The sales transactions appear in my square account and as far as I understood, the store element was square. I’ve emailed Weebly again but I’m not holding out much hope.

Ah, did it your way and got ‘this feature is not available to all users’. Maybe I need to find out why. I’ve been looking from the Weebly side but it could be Square?

Hi

 

thank you for your help. The email used for square wasn’t the same but I’ve changed it anyway. I’ve gone into ‘online’ and now have three options but I seem to be setting up a new website? Is that correct? If so, do I choose the full website + online store? Or have I got this completely wrong?

Thanks for letting me know! Even after the expert, it's okay that the items are still visible on your website - the export is only an offline copy. Since it looks like you are running into a few errors with importing the items, I think it'll be best to reach out to our Support team directly. Thank you. That’s worked. I’m now puzzled about the import thing. I’m an artist and this sort of thing doesn’t come easily to me. So, I need to export from the website to a spreadsheet and then import that into square? Sorry for so many questions. It’s great, with your help I really feel I’m getting somewhere and I don’t want to mess it up.

Glad I could help Anita! I have a quick look on my end and you should be able to export your Products on the Weebly site into a CSV file by going to Store > Products > Product Exports. 

 

The format of that CSV file is likely to be slightly different from the format required by Square, so I recommend first downloading Square's template file, copy and past information from the Weebly file into the template file, and then upload it. If you run into any error message when trying to upload the file, this article has a lot of different troubleshooting steps you can try. 

 

Depending on the number of items, you can also add them back in manually

sorry, I’m not getting anywhere. I’m working on Mac, I don’t know if that makes a difference. Can’t get the file to import, it has over 100 issues. I’m using the template.  After I’ve exported the data I can still see it on my website. This doesn’t seem right to me.

Hi @TheWildSage, sorry to hear you are running into the same issue! If possible, can you let me know the types of error messages you are getting when trying to sync your items to Square and also if you are using a Weebly site or a Square Online site?
