Hide Transaction from employee
Hello! I am wondering how to hide transactions from employees either mobile or with a limited role. I have individuals going back and looking through things they should not be...
I have access denied on other areas.
Thanks.

Has anything been done about this yet? The question was first asked in 2017. It’s now 2022. Why can’t we hide the complete transactions list in permissions? Come on Square!

Hey @knieuwoudt,
Thanks for being a member of the Community.
You are able to set up permissions for your team members and disable their ability to view transactions from your Dashboard. It will look like the image below. Team Permissions requires a passcode to take certain actions, but individual team member sales, tips, and other point of sale actions won’t be tracked.
To set permissions for anyone accepting payments as a team member:
From your online Square Dashboard:
Visit Staff > Team > Permissions in your online Square Dashboard.
Select Team Permissions.
Create or generate a random team passcode. Record and share this passcode with your team.
Select the permissions you’d like all team members to have. If a team member tries to access an area you haven’t selected, they’ll need a passcode from a team member with the correct permissions enabled to proceed.
Click Save.
At this point, any team member using the set Team Passcode will be able to accept payments and access areas and functions of the point of sale you’ve selected for Team Permissions. To access restricted areas and functions, you’ll need to enter a passcode with the correct permissions enabled.
Please let me know if this helps.

We already have a passcode to acces square, then they have to log in with their unique passcode. I did this a while ago, so “transactions” is OFF under permissions, but they can still see the last 5 transactions! Is there another step to follow to hide recent transactions from employees?

Hi there, @Kknj, just jumping in here for @RobynR while they're out of the office!
We can certainly get you to double-check you have the following settings enabled for each Team Member. Hopefully, by checking the below we can identify any gaps.
1. From your online Square Dashboard, navigate to Team > Team Members > and select a profile.
2. Under Permissions, select Edit.
3. Next to Permission Set, select Edit.
4. Ensure that you have only activated the necessary settings here. For example, we'd need to ensure. Orders and Transactions are turned Off so that no transactional data can be accessed, in addition to other account-specific settings.
Note: If you want Team Members to process sales and connect Square hardware, you'll want to activate Account Settings and tick 'Configure Hardware Settings', and for sales ensure you have Checkout activated (review each checkbox as required).
6. Select Continue once finished.
7. On the next page, only tick Shared Points of Sale and click Save.
You can test Team Member access by logging in using one of your staff profiles to see whether they still have access to Transactions. The expected behaviour is that they don't have access to any Transactions. They can select this page but they will be blocked from entering with another 'Enter Owner Passcode' screen.
If you're not seeing this occur, then please reach out to our Support Team directly, as they will be able to replicate your settings during testing to see if there are any other underlying issues impacting this function.
If you'd like to speak with our Support Team by phone, you can give us a call at 1-855-700-6000 between 6 am - 6 pm Pacific Time Monday - Friday.

Still shows 5 transactions. So it doesn’t really help!

Is this still an unresolved issue? I really don't want to switch POS systems, but I think it might be wise to consider another option if this doesn't get resolved. Especially considering what Square gets per day from us. Let's go Square! Help us business owners out.

I cashed out an invoice same day that was large. Under my employees number with restrictions, they can tap on that large transaction from earlier that day & view the entire thing even though they do not have access to invoices doesn’t make sense & why do i pay for the extra management fee when they can view last 5? I am making the last 5 transactions, not them.

That’s my issue. They can take pictures or write down the last 5 and keep track of what you/we are making. I’m not paying extra for that. I just set it up s as restriction.

@LBE2020 - I would recommend reaching out to support where you may be able to speak with a manager with regards to compensation for any inconvenience. Because we are limited to what we can do via The Community, the best way to resolve this would be through Square support Monday-Friday 6AM - 6PM PST.
Options to contact Square are here.

This is still an issue for us. While it makes sense for users to see the last transaction to make sure it went through correctly, we should have the option to turn OFF the entire transaction menu for employees.
