Square Staff has now launched new hire onboarding, a streamlined and integrated way to manage the onboarding process for your team members!
With new hire onboarding, you can:
- Empower your team members to self-onboard
Newly added team members will now automatically see a checklist of tasks to complete after you add them to your team. They can review their profile, learn their POS passcode, upload your requested documents, and review any documents you choose to share (such as an employee handbook). - Collect key onboarding documents from new hires
Say goodbye to lost paperwork. You can create tasks to request onboarding documents from new hires, such as copies of identification, signed employment agreements, and certifications (e.g. food handler permit, alcohol server). - Store documents digitally and privately
We’ll ensure your team member onboarding documents are easily accessible. Any files uploaded by team members during onboarding, or later in the Team app, will be stored in the team member’s profile in your Square Dashboard, so only you, your designated managers, and that specific team member can access them.
To get started, you must first configure your new hire onboarding workflow in the Square Dashboard. Click Staff & payroll → HR & compliance → Onboarding. You can also visit our Support Center to learn more about how new hire onboarding works.
This feature is currently available to sellers with a subscription to Square for Restaurant sellers with Shifts Plus capabilities, Legacy Retail Plus, Appointments Premium, Shifts Plus, and Team Communication. Restaurants Plus and Retail Plus sellers in the rest of counties (UK, IE, FR, ES, AU, JP) are also eligible.

Q: How does it work?
A: To use new hire onboarding, you must have one of the eligible plans: Square for Restaurant sellers with Shifts Plus capabilities, Legacy Retail Plus, Appointments Premium, Shifts Plus, and Team Communication.To manage the onboarding workflow, go to Staff & payroll → HR & compliance → Onboarding.
This page shows the full onboarding flow your team members will see, including the following default tasks:
- Review profile: team members can review their contact information and see their personal POS passcode.
- Add payroll info: if you are subscribed to Square Payroll and the individual has been added to Payroll, team members will see this task to complete tax and payment information.
You can configure tasks for team members to upload and review documents by clicking “Add task” and following the steps shown after that.
We recommend you configure your new hire onboarding workflow before creating team members, to ensure they see the tasks when they accept the invitation to join your team. You can also visit our Support Center to learn more about how new hire onboarding works.
Q: What will team members see?
A: Newly added team members can access their onboarding checklist from the Team app or on the web (on a mobile device or laptop/desktop computer) They will see the default onboarding tasks as well as any additional tasks you have configured.
If I already added a team member before configuring new hire onboarding will they see the latest tasks?
A: If you make changes (e.g. add a new task), existing team members who already saw the checklist can go and find those new tasks—either from the original invitation (email/SMS) OR by opening the Square Team app and selecting More → Profile → Onboarding.
Q: Who can manage the new hire onboarding workflow?
A: The account owner and team members with the “manage team member onboarding” permission (incl. full access permissions) will be able to configure onboarding.
Q: What kinds of documents should new hires upload?
A: New hires can upload any onboarding documents that are relevant to your business. Examples of onboarding documents include: copies of identification, signed employment agreements, and certifications such as food safety certifications or bartending licenses.
Q: What kinds of documents should new hires review?
A: New hires can review documents you upload such as an employee handbook, business procedures, training guides, dress code policy, or workplace harassment policy.
Q: Where are the documents that new hires upload stored? Who can see them?
A: Any documents that a team member uploads, whether from an onboarding task or the “My documents” section of Team app, can be found in the “Documents” section of the team member’s profile in Square Dashboard. Documents uploaded by the team member will be viewable by you as the account owner, as well as any team members with team member document permissions. Any documents uploaded through Square Dashboard (not by the team member themselves) will remain private to you and team members with team member documents permissions only.
