Changed Transaction IDs?

Good afternoon everyone! New to square here! We have been having some trouble reconciling deposits, because certain days within the month seem to feature a couple of erroneous transactions. Please bear with me as I try to explain. 

 

When we pulled the report for January in mid-February, it showed the following:

 

Transaction ID      -  Collected
g8UI*****             -  100.00

B6Zrg*****          - 50.00

Gbox3*****          - 90.51

 

When we pulled the report today, we found:

 

Transaction ID     -  Collected

g8UI*****             -  100.00

B6Zrg*****          - 50.00

GRnRRk*****       - 33.00

 

So I guess my question is, what causes a transaction ID to change, and then the value of the transaction? Interestingly, we pulled the paper receipts for the day, and found that the sales receipt provided to the customer showed 33.00. So where did 90.51 come from?

 

This has happened with two separate days in January.

I have to admit... Your question has me puzzled. 🧐

 

I'm a little confused about how you pulled this report.

Our transactions screen doesn't have a transaction ID column and while we do provide a receipt number for each transaction, that only consists of 4 numbers and letters. 

 

Receipt numbers don't change even if you process a refund for your customer, which is the only scenario I can think of where a total would go from $90.51 to $33. 

 

So, if that's ok, I would like to gather some additional details. 

-What device and app/browser did you use to pull this report? 

-In what section of the app or dashboard did you find the report?

-Are the 3 transactions listed here the only ones on the report?

-If you can, please attach screenshots of the report to your reply. Just please make sure to edit out any business or personally identifiable information, as this community is public.

 

I'll keep an eye out for your reply and hopefully having those details will help me determine what happened!

               Thanks for the quick answer. In all cases, we are pulling the reports from square on the computer, as opposed to using our terminals to do it. The reports are generated by going to Balance, Location and then selecting a date range to export. When Exported as CSV files it shows a transaction ID. Curiously, the receipt number is not attached to the transactions in that particular spreadsheet. We did check for the issuance of refunds, but couldn't corelate any to the transactions at issue.

 

To answer your other questions. 

 

-What device and app/browser did you use to pull this report? - Windows PC, Chrome Browser

-In what section of the app or dashboard did you find the report? - Balance, Location, Activity -> Export

-Are the 3 transactions listed here the only ones on the report? - No I just listed the last three on one particular day as a way to explain the anomaly. These transactions happened on the 30th of January. Previously on the 24th we had a transaction that went from $24.13 to $1.00, again the transaction ID and payment ID changed. Using the transaction tab, we could see that the transaction at issue was Receipt #5Y0v

Thank you for the thorough response here. I'm afraid I will have to suggest you reach out to our Support Team, so they can take a closer look and help you correlate these reports. In my multiple years here at Square I have never seen transaction IDs change, so there is some digging to do here.

On a Receipt you get a 4 digit code with a # before the 4 digit code on the receipt.  These 4 digits (characters) I believe match the 1st 4 characters of the Transaction ID, but could match the Payment ID.  So in the post above where @kchetwynd shows GRnRRk...... for the Transaction ID the receipt would be #GRnR.   I noticed this when importing my individual Transactions to QuickBooks Desktop as I import the Transaction ID, Deposit ID, and the Payment ID from the Transactions.csv exports of Items and Details merged together.    Just letting you know so you can look this up for yourself and understand where these long Transaction IDs come from if you see them in the forum again.  I do alot of exports of csv files from square, and they have all these IDs in them which is what most people would use for automated imports.
