Was my customer charged?

I have a part time landscaping business. I only have a EIN. I swiped a card from a customer and it shows pending deposit but is asking for documents that I do not have.

Your customer was charged but it is pending and waiting for your account review and whatever they asked you for.

What if I don't have the forms they request. Can I issue a refund to the customer and go a different route

I would think you should be able to refund the transaction. see this post for information on how to refund.
