Square Team App & Timecards

I just transitioned to using Square for timecards and schedules, and this has been the most frustrating process ever. 

* The video tutorials don't match what the current interface looks like, and the troubleshooting doesn't help.

* Most of my team have been unable to log into the team app. 

* Tech support has been unhelpful in helping figure out how to get my team logged in. The only solution was to use a different email address to try to get the 'forgot password' email, but I wasn't told that once we successfully login using the 'dummy' email address, that you have to contact customer support to change the email address back to the 'real' email address.

* Logging in using our POS is not intuitive and not what I want to use for non-register staff

* There is no way to give a non-register team member timecard/schedule access only

* Only a couple of my staff was able to successfully log, and it doesn't make sense that we have to click 'forgot password' to log in the first time, in addition to the fact that most of my team never even get the password setup email, and cannot log into the app. I need them to have app access (vs POS access) because they're in the field and not at a pos.

* There needs to be a different permission set for people who ONLY need timecard permission

* I accidentally scheduled a team member for a shift that has already passed and there is no way for me to delete that shift

 

I probably have said the same thing more than once above, but I am just so frustrated with this process. On my third tech support call and I'm about to switch back to my former timecard/scheduling software. 😕 I was trying to give it the benefit of the doubt, thinking timecards and scheduling was new to the platform and kinks were still being worked out, but these aren't even new to the platform, and I'm technologically proficient and struggling to make this part of the app work for us.

@Tarra32 Hey, I understand your frustration.  It took me a while to get everything just right, but I was lucky enough to go through the beta and experienced some of those growing pains.  Let me tell you some tips I have found.

 

1st off, the e-mail problem is completely on your staff.  Many people have the square e-mails going to spam/delete.  If the person verified their e-mail and set up a password, then the reset password link/change e-mail is at the users point.  What I did was go into my team management and deleted the good e-mail.  I put in a generic e-mail saved and waited about 15 minutes.  I then went back in and put in the correct e-mail so it would update again and did it with my staff right there.  I had them go in and check their e-mail to make sure they got it, check spam, and even add *@messaging.squareup.com as a safe sender.  I found people with *@yahoo.com e-mail addresses had the most problems, while gmail was pretty good.  People block square e-mails and don't remember doing it.

 

If you are using team management, one work around is to set up a field reps permission set.  With this set, completely lock down permissions except for the point of sale.  Now you can have them download the square point of sale app on their phone, and then go to your settings and devices and give them a device code.  They can then put in that device code and you can go into the app on their phone and enable clock in/out and then log out.  They can then use the point of sale app on their phone to clock in and out just like the register.  But since it is on a device code, you can revoke it at any time, and they can't do anything but basic functions if they did go into the point of sale.

 

As far as deleting the old shift, don't worry about it.  It won't affect anything in the long run.  I will be happy to answer any more questions I can.  Another option you can do is set up a google workspace and manage e-mails for your staff.  This is my next move eventually.
