New to House Accounts

How do I assign an invoice to a House Account?? I spent 2.5 hours on the phone with them yesterday but I don't really think the Square help was understanding what I want to do. 

 

 Things I have done:

 

1. Set up House Account

2. Made their first invoice

3. Followed the step-by-step guide on "how to set up a House Account" and "how to assign an invoice to a House Account". 

 

I feel like the next step should be to close out that invoice to their House Account but it is not available when I choose to check out/charge. 

 

Is this a glitch?  Thanks for your help.

Hi @AHuntDesign.  If I’m misunderstanding your question, apologies.  But once a customer is invoiced for their house account activity (either manually, automatically, or recurring), then the invoice is created and will now be in the list of open invoices available from Payments -> Invoices on your dashboard.  If a customer comes in to pay that invoice, or sends you a payment, you can post that payment from that list of open invoices.  Once the invoice has been marked “paid” their house account balance will be adjusted accordingly.

Thank you @TheRealChipA   I might just be misunderstanding the capabilities of House Accounts. With this particular client, I was hoping to just keep track/run a tab for them and have it ongoing. I am doing a trade in my services for advertising with their publication. They are getting $6000 a year in my product and I need to track it like an invoice for my systems and procedures. I was hoping to create an invoice for them each time, so what they are getting is clear and when we reach $6000 I was going to close it out to a comp for advertising. 

 

Should I just be closing them out as we go and they'll still show up in their profile? 

 

Square's "how to" instructions make it sound like I should be selecting House Account to close it out...

House accounts were created initially for the restaurant and bar business.  They were given to high profile/regular guests who only wanted to pay one bill a month.  In Square’s implementation, a customer buys something from us and we close the transaction to a house account — rather than to cash or card or whatever.  Then, depending on how we set up any particular house account, Square will send a consolidated invoice to the customer showing their new charges and the amount owed, which they can pay with a card online or come in and pay us in person. I can’t see how you could make it work in the situation you describe.

 

From what I’m understanding, I don’t see why you can’t just create individual invoices, discount them 100% to whatever discount code you create for this purpose, and then close them to $0.  The invoices list will allow you to filter all invoices for a given customer for a given date range to keep track of how much you have traded for that period.  That would actually be much simpler than trying to make house accounts do this.

@AHuntDesign I’m going to amend my last post slightly.  Since this is one customer, I’d create a unique discount code just for them that you can apply to the invoice.  Then, when you want to see how much they’ve “used” you can just run a discount report for that code  for the appropriate period.  That will give you a total for tracking purposes.  That’s going to be easier than going through multiple invoices.
