Has anyone else dealt with Square’s inability to file things properly after an entity change?
Hello,
I own a business and use square for our POS, payroll, marketing, and a few other things. I had a business partner who passed away suddenly and I had to change the type of business that I have from LLC to SCorp. This came with a lot of number changes and other adjustments. It was a lot of paperwork to shuffle but I thought I managed to smooth things out.
Unfortunately, it seems I was wrong. Square has repeatedly filed under the incorrect tax ID number, has made massive errors in payroll, paid the old EIN rather than the new one, etc. I’ve tried to get them to fix this with absolutely no solution or even any effort from Square it seems. They never have answers and continue to make mistakes even though both myself and my accountant have tried to get them to fix these issues. We can never speak to someone in the payroll department as they don’t have an actual contact number and anyone we do manage to talk to reads to us from a script which gets us nowhere.
At this point, I’m thinking about dropping Square entirely as payroll and even as the POS system I use because they cannot seem to get their jobs done. I’m just curious if anyone else has had these insanely horrible problems with Square and if there’s anything that can be done before I start the process of removing Square entirely from my business.

As I see this is your first post let me be the first to welcome you here and say sorry for your loss of a business partner.
As for the issue of changing the EIN from an LLC to S-Corp, I have read in the this forum that Square does not let you sell or transfer one EIN to another EIN or even a SS# from a organization to another SS#.
From my understanding you would basically have to see about downloading all your records from the LLC and start a New Square account under the EIN of the S-Corp. This is because say in 4 years you need records for tax reasons from the LLC from Square you would only see the Records of the New EIN. Yes I understand they are basically the same but now they are 2 completely different Legal entities. I have seen where people have gotten married and just wanted to change the Owners name, with the same ss# and had issues. My suggestion is to download your Square Catalog from the LLC, start a new account under the Newly formed S-Corps EIN and name, then upload the Catalog from the old LLC to the new EIN in Square. Square does not allow the sale or change of a Square account from one business to another which is basically what you are doing, from LLC to EIN. I know and understand why but in leagal reasons this is still 2 different businesses, 2 different EINs.
