Is there a way for my Website to combine inventory counts from my B&M and my Mobile both?

We use Square for Retail and have a Brick & Mortar store, as well as a mobile boutique. We also have a website / online store thru Weebly and connected to our Square accounts. We currently have all inventory tracked under 1 "location" but would love to be able to better track which items/counts are in our Mobile and which are in our Brick & Mortar. We considered setting up a separate Location in Square to accomplish this, but from what I have read, our online store would only be able to pull inventory from one of the "locations", not combine both, which is not ideal as we have access to both sets of inventory regularly to fulfill online orders.

 

For example, if we have 2 Small Hoodies in stock (one physically in our Brick & Mortar and one physically in our Mobile), but say we sell the one from the B&M, we would still want our online inventory to show the item as available because we still have 1 available to sell, even though it is physically located in our Mobile. 

 

We don't necessarily need customers to see 2 "locations" - the tracking is more for internal purposes so we can keep track of what items are where at any given time. 

 

I have been researching threads for hours and can't seem to find a good solution, but thought I'd put it out there in case anyone has any ideas. (We are doing our semi-annual inventory in a couple weeks, so this would be the perfect time for us to change anything to help accomplish our goal if its possible).

You are correct, there is no way to have your website pull from both locations if you were to create a separate location. 

 

I am going to tag my friend @Candlestore who has a retail store and is a Super Seller. They may have some better suggestions and can point you in the right direction!

Thanks for the referral @Summer2024@Candlestore provided confirmation what what we need is not currently available, and suggested some good work arounds (although for now, we will just keep doing what we're doing).

Welcome to the sellers forum and yes this is a difficult sitiation which is why you are having problems locating an answer.

You have your B+M Location, Mobile and Online.  Do you need to Track inventory at all 3 or just sales?  For me I have a similar situation, B+M, Online, and then Pop up sales (Mobile).  I put all my inventory that I want to sell online and in Square in both the Online and Square.   Mobile I load up with our popular Items and take with me, no reduction in Physical B+M or online inventory.  Then at the end of day when they are sold remove them from a Mastor iof Square Online and B+M.  Now to keep track of what is in the Mobile location, I would just setup a Google Spreedsheet.  Scan the items into its Mobile Location in the Google sheet.  Online and B+M inventory can be together since they pull from the same inventory, I am assuming like mine do.  I am not sure how your Mobile inventory works, but my Mobile inventory I can get by the end of day for shipping the next day for any online orders, only issue is if a person is looking for Item A at the B+M location that we have 1 of and it is on the Mobile vehicle we loose the sale.  This is why we do not take 1 of items usually for pop up events unless its a clarence item that has not sold in store for awhile.  The other issue could be if Item B is sold in store before updating Online that item B could be sold out but receive an order online.   I thought Weebly and Squares inventories synced together or could be setup that way.  

 

If you want to keep track of inventory at your Mobile Location I would setup a IN/Out inventory system with Google sheets and a Chromebook.

You can repeat these steps and link the sheets together in one workbook for each location you have if you like.   There are plenty of Youtube videos out there for creating inventory management with Googlesheets.    Once you find one you like you can import your sales quantities and item numbers (SKU) that will reduce the inventory quantities in Google sheets by each different sales channel to keep the stock in that "Location".  

 

 

If you use Square and Weebly and Square for Mobile sales, I thought this inventory could be all connected.

If you do this, and Link Square Inventory with Weebly Inventory, then overselling on either one should not happen. The issues would still be The inventory in your Mobile site.  The Mobile Site if you use Device Codes and Square POS, the inventory would still be removed from Square just not from Location Mobile.  Which is why above I gave you ideas for creating an inventory in/out system with Google sheets to track what Should be in the Mobile location.  Now all sales from the Mobile Location would still be tracked using the Device codes but Square would need the Location of the Mobile Device to have its own Sepperate inventory in Square.

Thanks so much for the insight. I prefer to avoid extra spreadsheets whenever possible, so I guess we will just keep rolling as we have been until this option becomes available in Square/Weebly.
