Hi guys
I had a customer pay her invoice, but the sale amount is not showing in my daily sales total on my register. Is that common? It's under transactions but not included in the daily summary. If this is common, then basically I have to log into my computer to get an accurate total for the daily sales, correct?

@JUYBoutique20 As I recall, that is expected behavior. At one time, I used to have a sublet tenant on the floor above my ice cream shop. I sent invoices every month for his rent. I’m pretty sure that was one of the things that caused me to only use the POS sales report for actual in-house sales, and to start downloading reports from my dashboard for the “rest of the story.” And, then, there’s the Dashboard App — did you notice whether it showed that invoice payment? I’m interested to know!

@JUYBoutique20 I’ll add that this is one of a few quirks with daily reporting. I’m one of the few people in the world who goes ahead and claims gift card sales as immediate income. That way I don’t have to worry about when to claim it as income on my tax returns, since I do it immediately. Yeah, I know. I might be claiming too much income for cards that aren’t fully redeemed, but the hassle of doing it the “traditional” way is just too much for me to save a few pennies.
ANYWAY….
Square assumes everyone does the accrual method of gift card accounting. So I had to create my own daily report that found the gift card sales and moved them to sales for the day.
The point is, I get what Square is doing here. Invoice payments are not actually sales rung in your store for that day. They don’t mix the two, usually.

The transaction shows up on my register it just isn't included in the daily sales total. I see what you're saying but my online sales are entered into those daily numbers even though they're not rung in store so what would be the difference? I guess I'm one of the few people as well because I also count my gift cards when I sell them and not when they're redeemed. Now when you say the dashboard app are you speaking of the square app or is there an actual dashboard app? Not seeing it there really just throwed me off. I usually run my numbers from my computer, but I just happened to pull up my sales yesterday and it was less than I knew it should be. I thought it would just need to catch up, but I checked it again today and it's the same.

Not sure I know what the difference is, but there seems to be for someone at Square. I mean the iOS/Android app called Dashboard from Square. It shows sales numbers, comparisons, etc.
Re: gift cards, it would be really great if we had a setting to say that we handled gift cards as immediate income, or as income when they were redeemed. Currently, I get around this by using a spreadsheet to pull gift card redemptions from daily sales, and transferring that amount of money to “discounts.” Clunky, but it works for me.
Anyway, that gift card thing was off topic, I guess. I just included it to illustrate that some other “sales/income” issues I have had to create kludges for! LOL

I got curious and started digging. I went back to my last online sale, and you are correct...Nothing but in store transaction show up in the daily sales on the register, but everything shows correct on the computer. I don't have the dashboard app, but I'm going to download it and see if it shows up there. I love the idea of a button to toggle off/on of how we calculate gift cards. It's cool to see how other sellers do things compared to how I do it. I might have to implement your GC spreadsheet. Thanks so much for helping me.

You’re welcome! Fair warning re: Dashboard App. Starting yesterday, some people (me included) can not sign into the Dashboard App. Square engineers are aware of it and supposedly I’ll hear when they’ve fixed whatever the problem is. I never realized how often I look at it on a daily basis until now! 🤣 So, if for some reason it won’t let you sign in because you’ve had “too many failed sign attempts,” that’s pretty much a lie. Hopefully you are not one of “the few” who are having this problem!

very strange- because our entire total is shown in our transactions on our register- we invoice about 8-10k a week so those invoices are bigly important to us. When we go into transactions and do a total, it does offer the full total with all sales (invoice, in store and online) included.
