How do I issue a refund without actual balance being taking out of my accounts?

I accidentally did a test charge of $4,500 and Square does not have the option to delete the transaction the only way to balance the books is to issue a refund, But I can't issue a refund to the customer because then it will draw this balance out of my accounts which is not my intend.. Therefore, How do I balance my books without giving non existing money to the customer. from a test transaction?

If you did this test transaction as cash, then you just refund it so that it's not showing that you have that much cash in your cash drawer.  You can put a reason for the refund and specify that it was an accidental charge or you can choose other and put a note in it.

If you did this test transaction with a card, you would refund it back to the same card. If it was truly a test transaction then it wouldn't be a customer card, but rather your card probably.  You want to be very careful about doing any transactions from yourself and your own credit or debit card.  You technically should not be running transactions from your own cards to your square account as that could be flagged.

If you did in fact do it on your own card, And it was accidental (maybe you meant it to be $45 instead of $4,500) then I would call Square and let them know that you were just testing and that it was a mistake so that they can help you get it all straightened out.

Square is giving me a prompt stating “actual money will be taken out of my bank accounts” to the customer. This is my concern. This is a test charge , no money to be refunded to no one.

Can you share a screenshot of that or a video showing that message?

Hey @plugtechllc, I want to welcome you to the community.

While there isn’t a way to delete a transaction, you can definitely process a refund instead. It won’t remove the transaction from your history, but refunding the transaction will balance your books.

Please let me know if you have any further questions.

refunding it will cancel out the 4,500. you "took" in and now are "refunding".  yes test transactions are a 10+ year old wanted feature of The app.  But nothing will be taken from you as nothing was taken in.  Cash transactions have nothing to do with Square other than the logging of the transaction and tracking of the items sold.

TLDR;  refund it and you will be fine.
