Attach signed contract to customer profile

Why does it not automatically connect the signed contract to the customers file? This seems like a very obvious feature that should exist. Otherwise, I have to manually download the contract, then upload it to their file, and try to do this before their scheduled appointment. This creates a delay and my employees don't know day of service if their client has signed their covid questionnaire.

Hi @Diedra - Thanks for reaching out to us here on the Seller Community. I'd additionally like to welcome you to the Square Seller Community, as I see this is your second post here 🙂

Now on to your Square Appointments question...

Just to confirm, have you tried utilizing the setting, Send Digital contracts to all customers upon booking?

Yes. I’m Specifically asking about where the file goes when they have signed the contract. I see that I get emailed a copy but that is my private business email and not some thing I share with my employees. My employees need to see if their client has signed the Covid questionnaire a.k.a. contract before they start their appointment. They are using a pay desk iPad using all of the Square apps. I don’t see any way that he signed contracts are automatically connected to the client in the database

Hi again @Diedra - Thanks for your patience while awaiting my reply on this.

While linking contracts to customer profiles is currently a feature request, you do have the ability to link Square contracts to specific payments in your online Square Dashboard, either from your Transactions page or when you create a new Square Invoice or Appointment.

Attaching your contracts to the related payments allows you to keep track of all the important information about a particular sale in one place—it’s also a good dispute management practice if a customer ever disputes a payment. Collecting all the important details for a sale across your customer profile, transaction history, and documentation organizes your dashboard effectively and efficiently.

We hope this information is helpful but please do let us know if you have any additional questions.

I also think it should be a no-brainer that a client's contract should be in their file automatically. My clients only need to sign contracts once a year, or if anything has changed since their last visit. So to make them fill out a contract for every single time they come in and for each transaction is extremely cumbersome and time wasting. I need a waiver contract, a medical history contract, and an artist acknowledgment contract for every client. Then, if they're a minor, I need a parental waiver as well. That's a lot of contracts to fill out every single time just to be able to easily see a client's information. I need to be able to search a client and have all of their information in one spot, including all contracts signed.

Side question: The client signs a waiver, and a medical history form. Then the artist signs a separate contract stating that they have reviewed the client's information. Is there a way to attach the artist's acknowledgment contract to the client's file?

Hello, @medusasartnsoul

Thank you for your feedback related to how much this feature can benefit your business. Feel free to provide your request in our Ideate Board where this feature will have greater visibility to our product teams and other Square sellers who may also benefit from this.

In your Square Online Dashboard you can save files under each customer if you head to Customers > Directory > click on the name of the customer > scroll down to attach your file (see picture below).

Hi there! Is there an update here? I agree that this is a no-brainer feature and we should not have to manually attach their contract as a file to their profile. Is this being worked on?

Hi @electricfeels,

I'm afraid I don't have any updates on this feature request right now, however, we are actively forwarding all the feedback we receive to our Product Team. Rest assured, when we have more information to share, we will make an announcement via the Seller Community.

If there's anything else we can assist with in the meantime, don't hesitate to let us know!

Please make this feature available!!!!! I don't want to leave Square, but having to download to PDF (the download does not even say the client's name) and then RE-upload the contract to the client is so annoying and time-consuming. When they make a new appointment, the contract is not there.

Side note: like other platforms, the contract should have the name of the business as the subject, not just "Square," and we should be able to edit it to say either contract, consent forms, etc.
