Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

Feature request for Invoices: Inventory is updated when an invoice is created (not when it is paid)

This reply was created from merging an existing thread: Square invoices now syncs with Square Inventory

Thanks for adding this feature, but I agree with TomLittle above.  The feature is not usable until there is a way to reduce the inventory on CREATION of the invoice.

The whole point of having inventory tracking is to know how much you have left to sell.  You can't have an accurate idea if inventory that is actually "sold" is still included in the "available" category.

Please complete this functionality ASAP.

It's a money grab it's never going to happen it hasn't happened in all these years and years and years. we know it works in other systems.  Square wants the invoice to be paid, so they get their cut, which is fine but give us the ability to take it out of inventory.  You're biting off your nose to spite your face.

So you mean to tell me that Square did all this work on INVOICES and didn't work on the Invoicing and Inventory issue with people SCREAMING FOR YEARS to have inventory reduced after invoice is created.  You have got to be kidding me.  I've been patient, but have had enough.  GET SOMEONE THAT CAN MAKE THIS HAPPEN!!!!  THIS IS ABSOLUTELY UNACCEPTABLE AT THIS POINT.  PRETTY MUCH STUPIDITY.  Adding all the fluff that we don't need is crazy.  WE NEED THIS INVOICE ABILITY NOW!!!!!!   Get the word to anyone and everyone.  Post their emails so we can bombard them directly.  I feel our voices are NOT BEING HEARD!!!  We want answers.

Re: Stock Counts Not Changing Upon Invoicing

Items added to invoices won't decrement inventory until the invoice is paid, not when it's created. From Dashboard, make to enable Inventory Management for Invoices within Items > Settings so stock amounts reflect accurately with each Invoice sale.

Any update on when inventory will be depleted when an invoice is created instead of marked as paid?  Or to let the user choose when inventory is deducted?

Guys, I have to be honest, this is a major flaw and I can't believe I'm alone in having this issue.

Our NORMAL business process is to take an order, pick the products, ship, and then get paid within 30-60 days.  So you should be able to see the problem, the entire inventory feature is rendered useless until you fix this issue.

When can we expect to get this in?

@JHruby I don't have an update for you and unfortunately I can't share a timeline for when this might be possible. The Invoices team is definitely aware of this need and I like your suggestion of allowing sellers to determine when inventory decrements: when an invoice is created or paid. Thank you for your post.

The industry standard is that invoices go out to clients when the product ships.  Which means the product is out of our hands, while we wait to be paid.  It is essential for accurate bookkeeping, as well as delivery to our clients, that stock be deducted as soon as we ship the product (which, again, is when an invoice is generated).  Without that it separates the invoicing from the inventory process and the attractiveness of your product is the ability to do both on one platform.  And that currently is not working.  Is this being addressed internally at Square?

@m2o144 Thanks for your post. I'm sorry that the current set up for Invoices doesn't suit your business at this time.

Our Invoices team is certainly aware of this request. I'll make sure to share you post with them so they can see how our product compares to the industry standards you expect.

@Helen I know you were working on re-vamping the invoice system.  Is there any update on the option to mark inventory down when an invoice is created yet?  If not, we're going to have to start searching out different options other than Square for Retail before the holidays.

@Helen Or if there was even an option to NOT remove inventory when marking a specific invoice as paid so that I can remove it manually when the product is shipped and then have a correct balance for outstanding invoices as currently I am marking invoices as paid to correct the inventory for our online store and then keeping a spreadsheet of payments still due, which both messes up my sales records and makes me fear that some invoices may slip thru the cracks.

@Helen actually that wouldn't work either as one of my accounts are on consignment so I would have to have the capability to take partial payments on an invoice.  Any update on that?

I can't believe that this issue is still out there with no resolution.  You have a logic flaw that makes the entire inventory feature useless to customers.  Now we are coming up on a year since that flaw has been reported and STILL no resolution?

It's not as if this request is outside of a normal business process when it comes to inventory and invoicing.  I would say a large percentage of invoicing is done to send inventory to a customer for future payment of the invoice.   Having that inventory still appearing as "in stock" wrecks the whole point of having inventory.

Sorry to be blunt, Square, but this just smacks of bad customer service on your part.  When is this going to be fixed?  I, too, and solution shopping solely because of this flaw in Square.

I’m searching for a new system too. I’m essentially having to recreate my entire inventory system due to these limitations.

Square, please help us out!

anyone out there found an alternative they recommend?

Thanks!

Hey @JHruby and @Harmony

I don't have any updates right now, but I appreciate you voicing your opinion on this. I can see how this feature would be useful, and hopefully something gets implemented in the near future to help.

I'll continue to advocate for this, and if anything new comes up we'll post an update for everyone.
