Thanks for adding this feature, but I agree with TomLittle above.  The feature is not usable until there is a way to reduce the inventory on CREATION of the invoice.

 

The whole point of having inventory tracking is to know how much you have left to sell.  You can't have an accurate idea if inventory that is actually "sold" is still included in the "available" category.

 

Please complete this functionality ASAP.

It's a money grab it's never going to happen it hasn't happened in all these years and years and years. we know it works in other systems.  Square wants the invoice to be paid, so they get their cut, which is fine but give us the ability to take it out of inventory.  You're biting off your nose to spite your face.

So you mean to tell me that Square did all this work on INVOICES and didn't work on the Invoicing and Inventory issue with people SCREAMING FOR YEARS to have inventory reduced after invoice is created.  You have got to be kidding me.  I've been patient, but have had enough.  GET SOMEONE THAT CAN MAKE THIS HAPPEN!!!!  THIS IS ABSOLUTELY UNACCEPTABLE AT THIS POINT.  PRETTY MUCH STUPIDITY.  Adding all the fluff that we don't need is crazy.  WE NEED THIS INVOICE ABILITY NOW!!!!!!   Get the word to anyone and everyone.  Post their emails so we can bombard them directly.  I feel our voices are NOT BEING HEARD!!!  We want answers.

Items added to invoices won't decrement inventory until the invoice is paid, not when it's created. From Dashboard, make to enable Inventory Management for Invoices within Items > Settings so stock amounts reflect accurately with each Invoice sale.

I agree with the last poster as well.  It would be nice to be able to make an invoice and know if you don't have enough inventory.  I currently switch between two screens when trying to make phone sales.  

Is there still no fix for this problem?  This is really creating a problem for me.  I invoice and use Square online store.  I have had people purchase items on the web store I have awaiting payment on an invoice.  This creates a negative quantity in my inventory resulting in an over sale of an item.  Other programs allow users to place invoiced items on hold or in a reserve status so items are temporarily removed from the inventory until the invoice is paid. Since there is no work around, customers are purchasing items from the online store that have already been sold.  I see this has been an issue for years. How close is Square to a solution to this concern? 

What is the possibility of this feature being added anytime soon?  With higher internet sales due to COVID requiring accurate inventory count, I can't imagine how this is not been prioritized.  I'm tired of explaining to customers that my quantity isn't correct because the 'computer system is messed up'.... HELP!

Hello, We are using Square POS in our small village shop. During the Covid pandemic we have started using the invoices section to support deliveries to older and vulnerable residents who cannot come to the shop. We sent an email invoice with the deliveries. We have found that when we sell an item via an invoice it remains "in Stock" until the invoice is paid with some customers taking 10 days to pay an invoice and our regular ordering system being weekly we are getting a lot of stock errors.

We think we have two of an item in stock but in reality both have been sold, consumed by the customer, but the invoice has not been paid.

Is there a work around for this, we do need to track what goes out via invoicing but it need to be when the time leaves the shop and not when the customer pays?

Hi @BriantspuddleSh, thank you for your post! Unfortunately at the moment, there isn't a way for the stock item to be deducted automatically when an invoice is sent you.

 

You can manually adjust the inventory by going to the Items > Click the item in question & edit the stock. You'll need to select a reason before changing the stock count. However, this means that when the invoice is paid, the item will be deducted automatically so that can skewered the stock figure as well.

Adding my voice of support for this feature. It's really important to have the option to have inventory deducted at the time of creation, not simply when is paid.

Dear Square. Please provide an update if decrementing inventory when an invoice is created is any any closer to reality. I did not know this problem until after i entered all my inventory. Can you give a more specific answer.. i.e. is this solution actually in development? I have not read any answer here other than your folks are "aware" .. we would like after almost 5 years of asking... A little more responsive answer. Thank you.

Adding more support for inventory being depleted when invoice is created.  

Square inventory is set up so that items are not removed from inventory until the payment is settled. There is currently no way to change this. So if a customer orders an item and enjoys it for a couple of hours (normal in the bar/restaurant business) then the item goes untracked for that time. I can't stress how little sense this makes - the item is consumed from a tracking perspective the moment it's ordered. I can't sell it to someone else. This has caused several customer service issues of products being oversold... the whole reason to have inventory tracking.

 

I have already gone through the support center, they said I should request this feature, but really it's a bug that needs to be fixed.

The fact it’s been 5 years and you guys still have not fixed the remove inventory when invoice is created is shameful. No business keeps inventory in stock till paid especially if giving payment terms. This should be fixed. It’s a major problem and I’m sick of doing work arounds when I could switch to another platform that offered this basic account option
