Being able to identify which member of staff took an appointment

Being able to identify which member of staff took an appointment

We run a hairdressers, with multiple staff, and it would be great to know which of my staff took an appointment. For a lot of reasons, including training - where something wasn’t done correctly. But as it stands, appointments booked internally aren’t linked to individual users. It’s automatically linked to the original Square Account holder’s name.

You should be to have appointments booked recorded by the member of staff who took the appointment, just as you do when a staff makes a sale with their login, it’s recorded against them. The same should apply with appointments.

Hopefully this important metric can be added.

Also, to add.. I have been told my customer service that a square user can’t change the name of the account holder. That’s strange. I got married and can’t change my name. Please do something about this too.

Many thanks…

Hi @KallysHair, sorry for the delay here! It looks like this post went through to the US queue & that's why I missed it, I appreciate you tagging me.

Thank you for taking the time with this request. When you say appointments booked internally, do you mean when the appointment has not been pre-booked & in your system?

With Square Appointments, when you complete a transaction, the sale will be associated with the staff member the appointments was booked with.

You can then track staff sales as long as you create a staff profile from your online Square Dashboard

But if you process a payment without a booked appointment, the sale will be attributed to the staff member logged in. It sounds like this is what's happening in your case but I just want to confirm that with you first?

In terms of your second point - yes that is correct. Currently it is not possible to transfer account ownership in the UK. The information (name, address, phone number) you provide when you sign up with Square is used to verify your identity during registration. As such, this information is permanent, and cannot be changed or edited.

But we are aware of the impracticalness of this current system. At the moment the transfer of account ownership is being trialed in the US, so hopefully we will be able to get this to our UK & EU sellers very soon.

It will definitely be announced on the Community when it does happen and I'll update this thread too.

No, I mean. When a member of staff an books an appointment with Square Appointment. It records the appointment in the name of the account owner. For example, assuming the account owner is Jane Doe, but a member of staff, James P took a phone call and booked a customer in. If you click on the appointment booked, it will say something like, Booked by Jane Doe on 23/01/22. Whereas the appoint was taken by James P.

It is really important to know who took appointments. So when there are errors you know where it’s from. @Breffni

@Breffni @tranguyen It's also the same issue when a member of staff [on their own login] cancel / reschedule an appointment, or even mark a client as 'no show', the action is always attributed to the main Square account holder rather than the actual member of staff. I have got screenshoots, if you need it.

Hello @Breffni  @tranguyen just making sure someone is dealing with this. Thanks

Hey @KallysHair, thanks for this.

I've moved the post over to the UK Community board. The board it was on in the USA is not available here so I think that's why it was getting lost.

I'm going to do some testing and reach out to the Appointments team for some clarification on this. I'll follow up when I know more.

@Breffni Thank you for moving it over! Looking forward to your response. If you need me to send you screenshots, I can.
