Permanently rename "regular" variation name

I use two variations for all my products: "member" and "non-member". Using Square Dashboard, I can rename the default "regular" variation to "member", but I have to do that for each item one-by-one. And I can only do it AFTER the item has been created. When I create a new item, only the default "regular" is available. I have no need for the variation called "regular". This makes for a lot of work, since most of my merchandise is one of a kind, so I’m creating new items all day every day. 

So I need two things:

 

First, how can I rename "regular" to "member" in the system so the default variation for all new items is "member"? Please, please don’t suggest that I export the spreadsheet, change all the "regular"s in Excel, and then reupload the spreadsheet. I would have to do that several times a day and would still have problems whenever I make a sale before I’ve updated the spreadsheet. 

Second, how can I create a second variation called "non-member" that appears, ready to use, for all newly created items? Square offers all sorts of preset and custom modifications, like units, which are available from drop down lists. I should be able to create custom variation names too. Please help.

Hey @mikesclub,

 

There's not a way to currently do this on the Dashboard with our reporting so this would be more of a feature request.

 

You'd have to change it after exporting. 

 

I do apologize because I know that wasn't the answer you were wanting to hear- but unfortunately there's not a way for it to do what you're looking for.

I also would love the ability to change the name of the default variation somewhere in the settings. It seems like a really easy thing to implement. So that when I new item is created I do not have to manually change each and ever one.

Hello @mikesclub the only thing I can think of to try is to create an new item, call it something like Item Master, and change your settings as you describe above. Then when you need to create a new item, instead of going to a new item, try to DUPLICATE the Item Master you created, and see if that creates a new item with your member and non-member listed. Then you can adjust the new. item and resave to something else.

I'm new to Square and just converting from another POS system. I have been making extensive use of Option Sets to control the available variations for an item. When using option sets, the variation name is automatically generated to identify the variation based on the option set(s) value. I'm assuming that you are not using option sets if you are able to change the variation name as they are locked down for me on items using them. For example, shoes may have a color, size and width, so we've created three option sets: Shoe Color, Shoe Size and Shoe Width. This results in a variation name that might look like Black, 7.5, W. An example of an item with a single option set for me would be a specific piece of jewelry that might come in Gold or Silver. We have a different option set to apply to jewelry which identifies this and results in a variation name of Gold or Silver.

 

Would it make sense to create a Member Status option set that allows the two values, Member and Non-Member. Then when creating the variations for the item, each product could be created with either or both of the variations depending upon your need. The variation would automatically be set to the option set name. Each SKU for the same item can have different pricing, etc. Then when selling the item you will be able to select either the Member or Non-Member SKU.

I agree with what Twinkletoes suggests and use the Options set.

Have an Options Set of Members --- Then have one as Member and another as Non-member.

Then when creating a new item you select the Option set of Members which will create the 2 Variations you named (Member and Non-member) for example.

 

Here is more information on that :6689-item-options 

If you have SKU for these you would need to add them manually to each variation.

 

The only issue I ran into with this is When I created a new Scent (Lilac) for example and added my Option Set of Jar sizes (8oz,16oz and 28oz) I could not put the Variation of 28oz on sale automatically with Discounts.    Just so you know that if you want your Members to have a Deal or secret sale the sale is applied to the Items and not the variation of Member/Non-Member.
