How do I add employees to Payroll if they are under 18 years old?

The title of this thread has been edited from the original: paying employees

How do I add a couple of employees to the payroll if they are only 17 years old? Currently it will not let me.

Sorry for the confusion @Tmcfarr. You can add employees who are under 18 to Payroll, but they can't have their own online Payroll account. It sounds like you might be choosing that option? 

 

To add these employees to your Payroll Dashboard choose physical pay stubs as the Payment Method and don't provide them with an online account. Then follow the steps to enter their withholding and personal info and your employee will be set up!

If the employee does not have their own on line account, can they still use the Square Team to clock in and out?

Yes, you'll need to set them up as a Team Member so they can sign into the Team app with their own credentials. More on how to setup here

So a minor can no longer get direct deposited checks?  A majority of our hires are high school kids.  I'm not sure why it all of a sudden changed so that they can't fill out their own information.  It doesn't make sense for me to be filling out their tax info for them.

I completely agree. Employers should not be responsible for entering employee tax and banking information. That just feels like a setup for issues - and possibly even lawsuits when the parents get involved - if we are provided with the incorrect information from the employee or even make a typo. Additionally, employees - regardless of age - should have online access to their pay check stubs and the ability to update their personal information. Printing out this information or having to log in under our own account every time they want to make a change or see their hours is a hassle. Plus, it does not allow for accurate record-keeping. From what Square can see, the employer is making all of the changes to the employee's information, so if something were to happen, we wouldn't be covered at all.

I'm having a similar challenge. I don't see "physical pay stubs" but I don't see Manual Check" vs Direct Deposit.

I've been using Square payroll for almost a year now and am currently hiring a new employee who is under eighteen years of age. He is unable to complete the form because it won't accept his date of birth. Is square payroll capable of hiring under eighteen?

Hey there, @RevDoPray

 

You’re able to use Square Payroll to pay an employee under the age of 18, they will not be able to create an online Employee Account and onboard themselves. You will need to add this employee manually through your Payroll dashboard.

 

After processing payroll, you will need to print out and provide them with a copy of their paystub, as they will not have access to this online. Please note that it is your responsibility to make sure you comply with applicable laws around employing minors.

We have been employing people under the age of 18 since we opened in 2018. They have all been able to login to square payroll. I have now hired a 15-year-old who is experiencing this age limit requirement. Can anyone explain this?

This must be new I have hired 16 and 17 year olds at my ice cream shop and NEVER had them tell me they had to be 18. So this is new and there needs to be a way around it. If we can hire them at 16, they need to be able to get paid at 16 with no issues. I have the first employee stating this issue. I have under 18 currently on payroll with no issues. I don't want to be responsible for their tax information. Nor do i have time to track them down to obtain it. when did this change? and how do i get a work around it.

I've just run into this same exact issue and have been hiring under 18 since 2018 as well. It wasn't until (literally) yesterday, I've had this issue. I'm jumping onto this thread to add my same thoughts. Under 18 has also been receiving Direct Deposit -  I don't see why age is a limitation for the ability to receive Direct Deposit - curious if/why Square's payroll rules have changed and the reasoning behind it.

I was told they had changed quite a few policies and procedures within the last year when I spoke with a customer service rep. I have been able to manually enter in their direct deposit and tax information. By not entering their birthdate it has allowed them to still be able to login to the square teams' app to view their hours and paycheck.
