Product Update: Team Management - Use Open Tickets to Track Sales and Commission

Hello! Our Team Management team has been hard at work these last couple of months to bring you a new product update. We’re excited to announce that you can now use Open Tickets to track employee sales and commission!


What’s it all about?

 

With Square’s Team Management feature, you can track sales by employee. This enables you, the owner or manager, to easily keep track of how much each employee has earned each pay cycle in commission and tips, without needing to use any separate software or tools.

 

Until recently, sales would always be attributed to the employee who is logged-in to the Square Point of Sale app using their Point of Sale Passcode. Now, using Open Tickets, you can track each of your sales to the employee who performed the service so that commission and tips are always correctly attributed - and you won’t need to change who is logged in to the Square Point of Sale App.

 

We’ll walk through:

 

  1. Setup - for Team Management permissions and Open Tickets
  2. Checkout Flow - what it’s like to ring up a sale
  3. Running the report - viewing your employee’s sales

Let’s set it up! I’ll walk you through how to enable this new feature.


To get started with Team Management permissions:

 

  1. First, enable Open Tickets. You can do this from the Square Point of Sale App on either iOS or Android.
  2. In order to use this functionality, make sure you have access to an account with Change Settings permissions.Employee Mangement Permission - 1.png
  3. Additionally, the employee that is in charge of your register will need to have access to an account with Manage All Open Tickets permissions.

Next up, let’s adjust Open Tickets Settings:

 

  1. First, open up the Square Point of Sale App on your device.
  2. Navigate to the Settings menu within the app, and select the Open Tickets.
  3. From this screen, toggle on Open Tickets.
  4. We recommend toggling on “Use Open Tickets Menu as Home Screen”, and “Use Predefined Tickets”. However, these two options are not required in order for the feature to work. Here’s what it should look like:

  5. While this feature is typically used to quickly and easily manage Open Tickets in a busy restaurant environment, using Predefined Tickets here will streamline the checkout experience.
  6. Create one ticket group with the name “Sales” and the Number of Tickets set to 1.

            And with that, you’re ready to start checking out appointments and tracking the commission and tips to the right employee!

 

Next, we’ll look at checking out an Appointment

 

With Square Appointments, we combine your calendar and your Point of Sale so that you can quickly and easily check out an appointment. When you select checkout through Appointments, Square Point of Sale will pull in the customer’s profile and the services they purchased. This is a great way to save time when ringing up a customer!

 

Let’s check out an Appointment next:

    1. Start by going to your calendar in the Appointments App.
    2. Select the desired appointment. The details screen will automatically display.

From here, tap Checkout at the top of the screen. This will open Square Point of Sale and you will see the page below. Initially your page will look empty, but don’t worry! Appointments has already transferred the customer and service to Point of Sale.

 

    1. To continue, hit New Ticket in the top right corner.

    1. Next select Sale. Now Predefined Tickets come in, saving you from having to take the extra step of entering a name for the ticket.

    1. Now you can view which employee the sale is assigned to.
    2. The employee using Point of Sale will automatically be assigned to the sale. If they charge the customer now, they will receive credit for the sale and tips

 

    1. To give credit to the employee that performed the service, tap the Edit button in the top right.

    1. Then tap on Assign in the top right.

    1. A drop down menu will appear with all of your employees. Now you can credit the sale and tips, to the employee who completed the service.
    2. When you select an employee's name it will highlight in blue.

    1. Tap Assign to return to the ticket screen.
    2. You can see that the ticket is now assigned to the correct employee in this example.

Our final step is to complete the transaction. To do so:

    1. Tap on the ticket where it says All Tickets.
    2. This will bring you to the Item Grid, which will pre-fill with the service from Appointments.
    3. From here you can add any additional services or products, apply taxes, and discounts.

    1. Swipe, tap, or dip the customer's card to charge.
    2. From the completion screen, tap Appointments to return to your calendar.

With these steps you should have no problem assigning tickets to your employees! With this new skill, attributing sales or tips, to employees should be a breeze! To wrap this up, we will run the sales report.

 

Let’s look at running the Employee Sales Report:

 

Our Employee Sales Reporting feature will allow you to accurately distribute tips or pay your employees commission!

 

Let’s get started:

    1. Navigate to your Square Dashboard on a computer.
    2. Select Sales from the grey menu on the left.

    1. From here we can access a number of reports, but we are looking for the Employee Sales Report.

Once you click Employee Sales on the left,you can see the ticket-tracking functionality in action, including the total sales and tips attributed to each employee.

 

Next we will look at the CSV:

  1. For this example we will select a two week period from the date selector at the top of the page.
  2. Click export in the top right corner.

From here select Summary CSV.

 

Your spreadsheet should look similar to the one below, including a breakdown of your employees, their sales, and how much they earned in Tips.

We hope this makes your job of tracking sales and managing your employees much easier by allowing you to track all of your commission and tips for employees directly through Square Point of Sale.

Hi there, 

 

I can't seem to find my question anywhere, but is there a way to show the discounts each employee applied to a sale?

 

So for example a way to add in the employee sales report additional columns that say, Sales, Discounts, Net Sales?.

 

Rather than have to go to each individual transaction to see which employee discounted which item, it would be very nice if the discounts for each employee showed up in the employee sales log.

Hi there, @Scooti! Thanks for taking the time to reach out and let us know about your issue. So sorry to hear about the trouble downloading your app. We should be able to assist!

 

I've merged your post with an existing thread of Sellers who also were experiencing issues when trying to download. I would take a look at Helen's Best Answer from this thread. There are some specific steps for download troubleshooting that will be helpful here. 

 

If that doesn't get you where you need to be, please let me know! I want to make sure this gets resolved for you.
