Correct. We provide accessible home renovations. Renovations can easily exceed $50k if multiple parts of the home are included. If it helps, these payments are made in non-credit card methods.

My patients pay for invoices with their credit card, insurance companies have moved to sending cc number for payment instead of checks. Health savings account cards are cc without chips. All of these credit card payments result in me entering the card information manually. This results in a higher fee % and transaction fee vs having the physical card present at time of service. I would appreciate not having to pay the extra amount for each transaction. Second, I would like for my patients to be able to pay for their invoice online. Can I have a square payment option on my business website/webpage?

I certainly understand having to manually enter in credit cards is not ideal, but we would not be able to reduce the manual entry fee. If you did want to start invoicing that fee is little cheaper. To clarify, you would like an option on your website for sellers to be able to pay? Whenever you have a moment please reply with more details, so I can better assist. Thank you!

This isn't right. You are penalizing your customer for what corporations are doing. We have no control over how an HSA, etc. works, yet we are the ones paying the price. Not very business friendly, IMO. And please don't say this cannot be changed - it CAN be, Square chooses to not do it. We don't want to enter numbers manually either but have no choice from the customer end(and their card provider) and we have no choice but to pay you extra for doing something we cannot control. That's like holding the **bleep** victim responsible for the **bleep**. I also realize that you are just the one fielding the questions/comments and the management are enjoying themselves somewhere else so please don't take this personally. I was frontline 'customer service' decades ago - I know how it works. Nothing personal - but it needs to be run up the chain to the ones who can change their policies and make it happen then tell the programmers to fix the software.

I understand your situation @HalleckHolistic. Manual card payment processing is the highest risk for payment processors like Square to maintain. Our goal is to provide this flexibility to our Sellers, however, it does come with a cost.
On the other hand the move by insurance companies has impacted many businesses. For this reason, I would also recommend giving this feedback to them. Another option would be to adjust your pricing to be able to include the processing fee (this is standard practice by many lines of business).

this is a comment for the moderator. If you are in healthcare, there is no such thing as adjusting your pricing. You can double your price, you can, triple your price, but you only get paid with the insurance company wants to pay you and it’s in your contract. And generally, you have no way of negotiating a contract unless you are a super large organization.

And, importantly, most insurance companies have not budged their prices for several generations, so they’re paying like it’s 1969.

As a provider, I completely understand the issue with HSA cards not having chips. I require clients to let me add cards to their file. I do this by creating a customer profile in Square under “Customers”. This is HIPAA compliant per Square’s FAQ’s for healthcare providers. Then I charge to a card on file. Alternatively, you can get a magstrip from Square and swipe. I believe most of the Square stands will swipe, as well.
I’m unsure about why you would be entering the credit card payments from INS companies? 1) you can call and refuse these. They have to send you a check if you refuse. You typically have to do it once a year, and you have to push, but it’s worth it. 2) By entering them into Square, you are getting those payments on two 1099 forms; one is from the INS company, and the other from Square. I keep a separate set of books for the client accts with insurance and only use Square for direct client payments.. Otherwise, I’m essentially taxed twice. Unfortunately, Square doesn’t seem to want to enter the EHR line of business, which is what I think we all would like. Instead they integrate with Dr Chrono, which is not my favorite for multiple reasons.
@moderator It would be helpful if you tried to troubleshoot during responses like I did above. Saying that Square can’t do it, and then justifying why Square can’t do it, doesn’t help solve the problem. It is just going to make people look elsewhere. I understand most of the mods may not understand all of the lingo we are using, so it would be good if they had someone monitoring thread this who knew what we were asking about. It would save a lot of frustration.

How can you input more than one service date on an invoice?

Thanks for being a member in the Community.
Currently, it's not possible to input multiple service dates on an invoice. However, you have the option to establish the frequency as either one-time or recurring and then customize the recurring settings.

I enter multiple service dates on invoices. You do it under items by adding multiple items and put the date of service etc in each item

Card on file questions:
First, I understand that we can add a card to file if we print a form, sign in and add it back to the client files somehow… but is there a timeline for streamlining that to be all digital and less convoluted?
Second, rates. Square says it currently wants to charge us for using a card on file, either 3.5% +$15 or 2.9% +$30.
Holy unreasonableness, Batman! My jaw drops just reading those numbers. Do you plan to get those rates in line with the rest of your rates anytime soon? Because that’s not a feature I will use if it’s going to cost more than the current rates to swipe, dip, etc.
