New Year, New Payroll: Why This is the Best Time to Switch to Square.
You’re invited to our webinar November 28, 2023!
Have you been thinking about switching payroll providers? Or maybe using an online payroll provider for the first time? The beginning of the year is the best time to do it.
Why is January the best time to switch payroll providers? 🤷
By starting with a new provider at the beginning of the year, you won’t have to go through the hassle of collecting all your year-to-date and quarter-to-date information from your old provider or accountant. Your new payroll provider can start fresh for the new year.
With that in mind, the Square Payroll team will be hosting a webinar where they will cover all things payroll, making the switch, and other helpful integrations such as HR Manager, Shifts, time tracking, workers’ compensation, employee benefits, and more!
This is your golden opportunity to engage with Square Payroll specialists and ask them any questions directly!
Missed it? Don’t worry! ☑️
You can watch the recording here and continue to ask questions there as well.

Hey - I really only have a couple questions. I am coming over from Gusto. I have looked over Square Payroll and it seems easy and self-explanatory.
My concern is regarding State Payroll. Gusto has a nice guide on what needs to be done when registering for a new State payroll. Is this something Square has / does?
Gusto automatically updates changed rates from various tax agencies. I usually get notice via mail from agencies on a changed rate, but sometimes I either miss it, or dont get that notice. Gusto is able to send me an email to notify me they made the change. Would Square payroll have something similar?
We have Workers Comp set up through AP Intego with Gusto. Its "pay as you go" workers comp. Is this transferable to Square payroll?
In terms of historical payroll and records - is this something I can transfer from Gusto to Square Payroll? If yes, is there an easy way to do it or is it very manual process?
Thanks!

since you mention state workman comp taxes...I'm in WA state and currently using QuickBooks payroll. QB currently pays all state taxes except workman's comp (WA LNI). What WA state taxes can Square payroll automatically pay?

Hi @SuesSweets , here are the Washington State Tax Details.
Square will remit WA state workers' comp. You can also check out this article for how to provide the correct QB report type regarding Payroll history.

Hi @rml251 ! Apologies for the slow response here. These were all great questions and I had to confirm some of them with our team.
My concern is regarding State Payroll. Gusto has a nice guide on what needs to be done when registering for a new State payroll. Is this something Square has / does?
- We have similar state guides available depending on which state you are in.
- NJ State Guide
Gusto automatically updates changed rates from various tax agencies. I usually get notice via mail from agencies on a changed rate, but sometimes I either miss it, or dont get that notice. Gusto is able to send me an email to notify me they made the change. Would Square payroll have something similar?
- We do notify sellers when we validate and update their tax rates.
- We would update a New Jersey UI rate on the seller's behalf IF we receive an updated rate from the state.
We have Workers Comp set up through AP Intego with Gusto. Its "pay as you go" workers comp. Is this transferable to Square payroll?
- Yes it is transferrable. Square also partners with AP Intego (they are now called NEXT Insurance). You’ll just need to contact NEXT (AP Intego) to let them know when you are switching to Square. NEXT will update your policy & send a new consent and authorize the connection.
In terms of historical payroll and records - is this something I can transfer from Gusto to Square Payroll? If yes, is there an easy way to do it or is it very manual process?
- Yes, it is very important that your payroll history is transferred to the Square system. You will need to add team member details for any employees paid in the year (e.g., SSN, resident address, etc.). However, our team will perform the data entry portion of the transfer.
- All you need to do is upload the correct Gusto report (report download instructions here) via your Payroll dashboard, and address any open questions we may have during the transfer process (a 2 part process).
- Step 1: Triage team will work with you via phone & email to talk through any open questions we have, and once this is complete,
- Step 2: Your records will be passed to our data Entry team who will reach out to you once again, where, if there are no open questions, you will have the opportunity to review the data before we finalize the transfer.

Hi, I'm just starting with a new employee. I will be paying them on the 1st and the 15th. I went to set up the pay period and it didn't give the dates needed. Would give a greater understanding of this?

Hi @GoodMoJo7 , at the moment you can't select specific pay dates with Square Payroll. You can only pick the pay period duration (like Monday to Sunday) and then the pay frequency (like every week or every 2 weeks). You can still set up a semi-monthly pay cadence, but it wouldn't necessarily pay them on exactly the 1st or the 15th as it would depend on when those dates occur during the week or weekends.

I'm excited to learn more about starting Square payroll, but when I went to register, it wouldn't let me click "No" saying that I would like the recording sent to me. I have a client appointment during that time, so I can't get on live.
