Can I use Square Appointments with booth renters at my salon?

The title of this thread has been edited from the original: Booth renters

 

We have a salon of 6 booth renters wanting to use square appointments as a scheduling avenue rather than traditional paper books. Is this possible?

Hello @TPoirier5. With Square Appointments businesses can manage appointments for multiple members of staff. You can view all appointments for each member of staff side-by-side or individually from a computer or from an iPad. Equally, when booking online a  client can choose which barber they want from the online booking site. 

 

However, keep in mind that each staff member has to be set up on one 'master' account for the barbershop. Barbers could continue to accept payments from their own accounts, but the appointments/services won't appear in their Point of Sale app.

We also have booth renters. We have encouraged each stylist to create their own appointments account, and then we created a "salon" google calendar and had them link their appointments to the calendar. Because iour stylists are booth renters/independent contractors, they manage their own schedule. Having it linked to a salon calendar lets everyone else in the salon see easily when their co-workers will be in the salon. We also went a step further to offer a link for online booking to each stylists individual accounts on our website. Feel free to check it out: www.shearperfectiononline.com

 

This has been really successful and convenient for all of our stylists. I was really concerned they would freak out with the change, but it seems like square has actually increased online booking and products sales.

You’d have to create a salon Appointments account and then create a team. Every stylist would be listed as a new team member for scheduling purposes. There are options to create either employees or independent contractors, but the actually payments for each service is still a little tricky. 

In thinking more about it, you might also be able to have each stylist be a different “Location” within Appointments and then you might be able to connect more payment accounts as well.

Of course you can have 6 staff members on one Appointments account! I think the real question is how do the stylists want to handle their payments? 

 

You can only have one bank account for deposits per location. So if the stylists check out clients on the Appointments app, all of their payments will be in a single deposit. Which will probably create a headache come tax time. 

 

You could have all of the stylists on one Appointments Account for scheduling purposes. Then each stylist would have a separate account for processing payments.

I am working with a barbershop and each barber is an independent contractor so they all have there own square up accounts for scheduling and collecting payment. They need a solution where users on the website could easily browse all barbers calendars in one view and ideal have openings of the current date flagged. Let me know if anyone has resolved this type of issue.

Two Independent Hair stlyist sharing the same sation in a salon. We are hoping to be able to share our calendars or have one calendar between our two accounts with square. That way we will not book clients on top of eachother. Plus that will making our online booking run smooth.

Hi @SRHair619 - Sharing Appointments calendars between two accounts is not possible at this time. However, you can sync multiple Google calendars with your Appointments calendars if you would like to do it that way. You can sync the other stylists' calendar with your Appointments calendar and vice versa. For more information on how to do so, check out Sync Your Personal Calendar with Square Appointments.

If you use the "resource" feature and make the station a resource then appointments can only be booked if that resource is available

Are different staff members able to offer different services? or is that set at the master level?

 

Also under this model would each barber or staff member that already has an existing appointment account be able to keep their account? or would they need to create a new account under the new master account?

No problem! 

 

Yes different members of staff can offer different services. The owner would set this up from the Staff profile on the Square Appointments Dashboard.

 

And yes the barbers could keep their current accounts if they wanted to. But with Square Appointments the owner can allow staff take payments on behalf of the business, by creating an employee log in. That might not work for you though if the barbers you work with want to keep their payments and deposits separate. With Appointments and Employee Management all the payments would be deposited to the bank account linked to the master account, and each deposit would have to be paid outside of Square.

Hi there.

 

I got 2 square accounts for my 2 photography businesses.

On both, I linked my Google Calendar, so when I have a personal event I'm automatically not available for appointments.

 

However, both square calendars are not sync. So if I have an appointment on business A, it doesn't show up on the business B calendar.

 

Any suggestions on how I can manage that?

You will one to have your Appointments Calendar for both businesses sync with one centralized/shared calendar. This should allow you to link these Calendars together so that your availability is limited.

 

 

It's important to make sure that when creating events on Google you must continue to add events to your main/shared google calendar and not to the "Square Appointments" calendar that appears after you've initiated the sync. Events added to the Appointments calendar you see in your Google Dashboard will not show up in Square Appointments.

 

There's more on this here, but no particular way around it. The fully shared functionality would fall under Square Appointments for Teams.

I understand what you mean, however it doesn't solve my problem.

 

Right now both Appointments Calendar (from both businesses) are shared into the same Google Calendar. However, when an event is synchronized from Square, it doesn't create a real Google event, so the other Square Calendar doesn't take it into account when synchronizing Google events.

 

Is there no way around this, apart duplicating each Square event in my Google Calendar (which is a bit of a pain)?

Yes, I have the same issue. I have six different kinds of business, and having one person synced between multiple businesses would be very handy. If we could import Google Calendar back to Square even if an event is from a Square calendar, this would block timeslots on both calendars so that one person cannot be double booked at two locations.

I have found a way around this... I added the staff page to my square site, renamed it Book now. it only shows me as the staff, so I added an image with text for each booth renter. Added a photo of each person and the words say BOOK NOW with a link to their own square site. looks very uniform... Hope this helps someone!
